Job Description

Reporting to: Directors 

Salary: Ksh. 45,000


RESPONSIBILITIES

Accounts Receivables

  1. Customer Invoicing and collections receipts processing.
  2. Work with the Production team to ensure full payment on sales made and ensure debt collection on outstanding payments
  3. Responsible for setting up and implementing Accounts Receivables best practices and policies

Cash Management

  1. Monitor cash and bank balances.
  2. Oversee and manage the company´s petty cash float.
  3. Carry out a weekly/daily/monthly cash projection to ensure an accurate match of cash and daily/weekly/monthly expenses for smooth company operations.
  4. Proper recording and posting of cash payments and collections in the system and filing of supporting expense receipts and vouchers as well as bank deposit slips.
  5. Ensure accurate recording and safe custody of cash or cheques received.
  6. Carry out monthly bank reconciliations and follow up on any discrepancies that may arise.

Accounts Payables

  1. Prepare and have all directors approve all LPOs.
  2. Receive and compare all supplier bills are as per the approved LPOs and Delivery Notes.
  3. Post all bills from the suppliers in the system and file.
  4. Ensure adherence to supplier or service provider terms of trade by ensuring essential services to the company are uninterrupted due to late payments.
  5. Raise a cheque requisition and attach Supplier or Service provider Bills, Delivery Notes and LPOs for authorization by the directors.
  6. Respond to all supplier and service providers´ enquiries.
  7. Reconcile all suppliers’ statements with the ledgers and ensure all disputes, if any are resolved timely.
  8. Produce creditors ageing report by the 30th of the following month for review and discussion with the directors.
  9. Maintain a proper and thorough filing method and documentation of supplier bills and payments.

Administration & Payroll

  1. Manage administration staff
  2. Ensure the office is well run
  3. Manage employee records and leave
  4. Update company payroll by adding or removing employee details.
  5. Forward the prepared payroll schedule and salary disbursement schedule to the directors for review and approval.
  6. Disburse salaries and reconcile Net Pay in Payroll with disbursed amount in bank to ensure accuracy on salary payments. 
  7. Produce and send out pay-slips, collect and file duplicate signed copies from all employees.
  8. Prepare and pay all statutory deductions i.e. PAYE, NSSF and NHIF.

Taxes

  1. Prepare tax returns and comply with tax requirements

Fixed Assets

  1. Oversee and maintain an up-to-date fixed asset register by recording all additions and disposal of company fixed assets.
  2. Handle all claims and renewals of insurance covers for the company´s assets.
  3. Analysis of business operations, trends, costs, revenue, financial commitments and obligations to project future revenues and expenses and provide guidance to directors. 
  4. Creation and implementation and monitoring of approved budgets to ensure compliance by teams. 
  5. Continuous Liaising with external auditors to improve on identified financial weak points, best practice incorporation and to ensure timely preparation of financial data and documents for end of year audit.
  6. Supervise and schedule work for staff reporting to this role to ensure timely delivery to meet set deadlines.
  7. Formulating and implementing accounting policies to ensure best practices within the company. 
  8. Adherence to company policies and procedures. 
  9. Any other tasks that may be assigned by the Supervisor.
