Rayhun HR Consulting Limited is a leading human resources firm specializing in customized recruitment solutions for businesses of all sizes.
Our client, a reputable company in the land and construction sector, seeks to recruit an experienced Administrator
Job Summary: Administrator to oversee administrative operations, client communication, and documentation processes related to land sales and construction projects. The ideal candidate will be proactive, organized, and possess excellent attention to detail, with a strong understanding of real estate transactions and client management.
Key Accountabilities


  • Documentation & Contract Management

    • Prepare and review Sales Agreements, Offer Letters, and Payment Schedules for land or property transactions.
    • Ensure all client files, contracts, and supporting documents are complete and properly filed (both soft and hard copies).
    • Liaise with legal teams to ensure all documentation complies with company and regulatory requirements.
    • Track client payments and update records accordingly.

  • Client Relations & Communication

    • Communicate professionally with clients through email, calls, and physical meetings.
    • Provide timely updates on payment plans, title processing, and project progress.
    • Coordinate with sales and site teams to ensure smooth client service delivery.
    • Manage client queries and escalate issues where necessary.

  • Administrative Coordination

    • Support daily office operations, including scheduling meetings, managing correspondence, and maintaining organized office systems.
    • Assist management in preparing reports, project updates, and presentations.
    • Monitor supplies and coordinate logistics for field and office teams.

  • Financial & Payment Tracking

    • Prepare client payment plans and ensure timely reminders and reconciliations.
    • Work closely with finance to ensure proper posting of receipts and client balances.
    • Maintain accurate payment records and generate periodic financial summaries for management.

  • Field & Logistical Support

    • Drive to project sites, land locations, and client meetings when required.
    • Coordinate site visits for clients and potential buyers.
    • Ensure smooth logistical planning for field operations.


Key Requirements


  • Bachelor’s degree in Business Administration, Real Estate Management, or a related field.
  • Minimum 4 years’ experience in an administrative role within a land selling, real estate, or construction company.
  • Proven experience in drafting sales agreements and offer letters.
  • Strong organizational, communication, and negotiation skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Valid driving license and ability to drive to field locations.
  • High level of integrity, professionalism, and attention to detail.
