Job Title: Estates Administrator. This is a full-time appointment.

Reporting Line: Hon. Treasurer and working with the Estate Committee members and External Auditors.

Location: Ole Sangale Link Road Office, Off Mbagathi Way

Role Summary
The Estates Administrator is a support staff to provide administrative and day to day operational support to the Estate Management Committee, the treasurer/accountant,
and audit team.
The successful applicant will be able to demonstrate considerable administrative expertise and excellent IT skills and the role would suit someone with Project Co-ordination/Project Administrator experience. You will have a proven track record of working in a fast-paced support function and possess IT and communication skills. Excellent interpersonal qualities and a sense of commitment are required for this important position, as is the ability to work under pressure with initiative is essential.

Job Responsibilities
The successful applicant will be required to carry out the following duties:

i.    Accurately record details of the residents in the Estate management system.
ii.    Collecting of service charge and ensure all residents pay their monthly service charge in a timely manner, and accurately record such payments. If a resident does not pay, the Estate administrator must record the details in defaulters notice board and report to the committee.
iii.    Managing, scheduling, and maintaining an accurate record of maintenance and repair of Estate Assets.
iv.    Managing records of security guards working in the estate daily and ensure that the correct number of guards are seconded to guard the estate as per agreed service agreement.
v.    Ensuring repairs are made, the grass is cut, and the estate remains aesthetically appealing.
vi.    Ensuring garbage collection is done on a timely manner.
vii.    Maintain details of long-term contracts.
viii.    Negotiate, hire, and pay short term/ad hoc contractors. The limit of such to be approved by the management committee.
ix.    Responsible for resolving minor neighborhood disputes between residents or neighbors. Allow residents to place complaints, which are usually related to noise, garbage, pet menace, parking, and yard maintenance. Administrators are expected to resolve these issues in a timely and professional manner.

Qualification:
• 2 years experience and diploma/degree in the same field.
