Job Summary
We are seeking a dedicated and organized Finance & Administration Officer to join our team. The Finance & Administration Officer will play a crucial role in ensuring the financial health of the company and efficient administrative operations. This role encompasses a wide range of financial and administrative responsibilities, including financial recordkeeping, budgeting, account management, and general administrative functions.

Job Description/Requirements
Key Responsibilities:
Finance Responsibilities: Oversee the preparation of financial records related to the general ledger, payroll, budget, and expenses to determine the company's financial status, stock reports, and monthly profit/loss. Assist in developing budgets and report on variances from established budgets, providing reasons for variances. Prepare accurate and timely final accounts, including profit & loss statements, trial balance, balance sheet, and cash flow statements. Assist in accounts receivable and payable activities, as well as the management of suppliers. Maintain accurate bank records of cash withdrawals and deposits and perform monthly bank reconciliations. Follow standard accounting processes for financial analysis and reporting activities. Perform account reconciliations and generate financial reports. Identify and resolve invoicing issues, accounting discrepancies, and other financial-related problems. Monitor and manage expenses within allocated budgets. Manage all client accounts for payment settlements. Analyze petty cash records and reconcile accounts. Perform data entry into the system as required. Maintain and update all inventory-related accounts. Maintain and update supplier finance records. Assist with audit duties as assigned by Management. Support in the preparation and filing of statutory returns (PAYE, NHIF, NSSF, VAT, Withholding VAT) within statutory deadlines. Undertake any other duties assigned by Management. Manage credit control and debt management. Ensure compliance with all relevant professional regulations and the Company's ACT. Facilitate fuel LPO approval and maintain records of fuel consumption from various service stations. Manage and collect debts from company debtors. Respond to client inquiries. Process invoices. Manage the sales ledger and liaise with customers and the sales team. Prepare sales statements and reports in collaboration with the Financial Accountant.
Administration Responsibilities:
Maintain a documentation system for accounting, personnel, and procedures.
Track and monitor resource needs for financial and administrative tasks.
Handle employee relations and staffing issues.
Monitor daily staff attendance and provide advice and recommendations on disciplinary action
Participate in quarterly asset verification and maintain an up-to-date asset register. Exercise due care to prevent loss or damage due to negligence. Custodian of office equipment and documentation, arrange for repairs and ensure antivirus updates. Participate in quarterly asset verification and maintain an up-to-date asset register. Perform any other related duties as required from time to time.
Qualifications and Experience:
Bachelor's degree in Accounting, Finance, or a related field. Professional accounting certification (e.g., ACCA, CPA) is preferred. Proven experience in financial management and administration. Proficiency in accounting software and MS Office Suite. Strong analytical and problem-solving skills. Excellent communication and interpersonal abilities. High attention to detail and accuracy.
