Job Summary
Ythera Beauty is seeking a Finance and Administration Associate responsible for all aspects of the financial management and administration of the company. The team member is expected to provide sound financial advice and effective financial management as well as manage the administrative functions of the company. The position reports to the CEO.

Job Description/Requirements
RESPONSIBILITIES
Finance
Ø Maintain the financial accounting systems for cash management, general ledger, accounts payable, accounts receivable, payroll and petty cash.
Ø Prepare monthly financial statements.
Ø Report on cash and financial projections e.g., liquidity and cashflow
Ø Assist with the preparation of the budget.
Ø Establish and maintain customer and supplier accounts.
Ø Respond to customer queries/issues in a timely manner.
Ø Prepare and file monthly, quarterly, and annual statutory returns in a timely manner.
Ø Work with the tax regulatory agency to resolve any issues.
Ø Calculate sales commissions.
Ø Work closely with the CEO in preparing annual budgets and forecasts.
Ø Prepare weekly cash flow forecast.
Ø Prepare payroll monthly payroll.
Ø Prepare sales invoices and collect outstanding invoices.
Ø Review, and record all invoices and make the relevant payments in a timely manner.
Ø Review accounting discrepancies and recommend corrective actions.
Ø Assist in implementing standard accounting policies.
Ø Prepare the fixed assets to register and assist in fixed assets verification, insurance, and processing.
Ø Manages bank accounts and prepares monthly bank reconciliations.
Ø Prepares documents and schedules for annual audits and liaises with auditors.
Ø Manage raw materials and finished goods inventory.
RESPONSIBILITIES
Administration
Ø Design a filing system that supports the seamless operation of the office, including record retention, disposal, and retrieval.
Ø Actively participate in the planning and execution of events in coordination with the Production/Administration Assistant.
Ø Maintain the office facility, repairs, and maintenance.
Ø Coordinate and support the Human Resource Manager on human resource-related matters.
Ø Manage office supplies and ensure efficient usage.
Ø Identify opportunities for process and office management improvements and implement new systems.
Ø Support the sales staff in the planning of sales events.
Ø Organize office operations and procedures.
Ø Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, errands, and shopping.
Ø Other duties as assigned by management.
QUALIFICATIONS
Professional and personal attributes
Ø Two (2) years experience in financial accounting.
Ø Experience in office management.
Ø Excellent written and spoken English.
Ø Working experience with QuickBooks.
Ø Proactive approach to work, self-motivation, and a team player.
Ø Excellent interpersonal skills, and ability to deal with people from different cultures.
Ø Flexibility to work and adapt to changing demands and circumstances.
Ø Ability to train basic skills in finance for non-finance personnel.
Ø Excellent problem-solving skills.
Ø A sales-focused mindset.
Ø Must be analytical, with strong attention to detail.
Academic
Ø Bachelor’s degree in Business, Commerce (Finance), and Accounting (Essential).
Ø Minimum of CPA (3) or equivalent qualification
