Job Summary

We are an FMCG manufacturer and distributor based in Nairobi, Kenya for the past 65 years specializing in the manufacturing of various food products such as ice creams, yogurts & sauce. We are looking to recruit a young, driven and motivated individual to join us as the Imports Officer to handle imports responsibilities. The position allows for great career growth in the company.

  • Experience Length : 2 years

Job Description/Requirements

1. Drive the procurement process for import sourcing, ensuring speed and accuracy

2. Negotiate on pricing with supplier and submit RFQ’s for comparison to the supervisor for final negotiations.

3. Manage a shipment tracker capturing all clear and relevant details, updated and shared with the supervisor daily.

4. To be fully conversant with all aspects of imports procedures of Kenya and the ability to handle all imports from the onset of getting:

a. Proforma Invoice,

b. IDF,

c. inspection and

d. ensuring all documentation for imports are achieved to ensure smooth arrival and clearance of import shipment

5. Preparing and sharing PO’s with suppliers and obtaining order confirmations and anticipated delivery dates.

6. Follow up regularly with suppliers on status of orders vide phone, email & WhatsApp

7. To source products / raw materials by way of searching online, networking, visiting trade shows and existing suppliers.

8. Work closely with clearing agent to ensure clearing of cargo is done on a timely basis with zero demurrages

9. Liaise with finance for tax & duty payment, prepare estimate prior to shipment for cash flow planning on a monthly basis.

10. Manage with KEBS on PVoC exemptions for raw materials and machinery and obtain product specific import permits from various government bodies.

11. Discuss and negotiate with shipping lines and air forwarders for best cargo rates

12. Ensuring all import documentation is correctly received and filed for all imports on soft and hard copy.


Qualifications / Requirements / Skills

1. Minimum Bachelor’s Degree in Supply Chain Management or related field

2. 1-3-year experience in imports department (in FMCG / Food Industry will be an added advantage)

3. Broad knowledge and understanding of imports procedures and custom processes

4. Good planning and forecasting skills as well as filing and paperwork skills to ensure all documents are well filed and preserved for future audit purposes.

5. Excellent communication skills, customer service, team player & negotiation skills

6. Good knowledge of an ERP as well as excellent skills for MS Applications (Excel, Word, Outlook and Power Point)
