Job Title:                    Legal Executive Assistant 

Reporting to: Head of Legal


Job Purpose

The position will provide clerical, administrative and secretarial services to our Senior Legal Partners.


Duties & Responsibilities:

The duties will include but not limited to; -

  • Scheduling appointments and ensuring a strict and proper diary system is maintained on appointments.
  • Taking notes during meetings to ensure effective follow ups with clients or other parties involved in legal proceedings
  • Interviewing clients to gather information about their cases, which can include collecting details about their life history and family background
  • Scheduling court appearances and meetings with opposing counsel or clients for attorneys
  • Arranging travel arrangements such as flights, hotel reservations, and rental cars for attorneys and other clients involved in litigation
  • Handling office administration matters involving the day-to-day efficient running of the office. i.e Filling, office secretarial services,
  • Supervision of cleanliness in the office, ensuring to keep the office and work place clean and organized.
  • Order and manage office Stationery requisitions.
  • Monitoring and keeping banking 
  • Supervision of subordinate staff in the office.
  • Handling office complaints end to end, keeping the complaints log and ensuring proper escalation of the same where necessary.
  • Tracking office general info email and ensuring matters are escalated to the right owners to handle and following up to ensure they are handled to conclusion.
  • May be called upon to draft legal documents such as summonses, motions, complaints, subpoenas, and briefs
  • Prepare meeting reports for all regular meetings, and when called upon for other ad hoc meetings.
  • Management of employee welfare and wellness programs
  • Handling and distribution of all incoming mail to the relevant individuals.

Qualifications:

  • Higher Diploma or Degree in Business Management/Legal Secretarial studies or any other related studies.
  • Familiarity with general office procedures either through formal training or equivalent work experience.
  • Previous work experience in an office environment preferred.
  • Computer literate with knowledge of word processing software programs.
  • Must possess good organization skills, good interpersonal skills and maintain a high degree of confidentiality.
