Position Reports to Guest Houses Manager

Duties and Responsibility

The job holder’s duties and responsibilities are outlined as follows:

a)    Adhere to stores processes and procedures;
b)    Clear the goods received from suppliers and monitor stock levels;
c)    Check supplier invoices, compare with quotations checking for discrepancies, compile and send them to finance department as soon as possible;
d)    Compile weekly reports on outstanding supplier invoices and present them to the house manager;
e)    Participate in schedules periodic stock takes at the stores;
f)    Maintain accuracy between actual stock balance and the system balance;
g)    Work closely with all users of the store to ensure a smooth flow of commodities as per their request;
h)    Keeping proper record of stock movements;
i)    Undertake daily reconciliation of stock records;
j)    In consultation with the Guest House Manager, make requisition of stores items;
k)    Responsible for filing of all Guest Houses documents
l)    Participate in supervision of the guest houses team and managing the guest houses.
m)    Deputize the House Manager in his absence.

Job Specifications

The job holder must possess:

•    Diploma in supplies/procurement management;
•    Certificate in business management
•    2 years’ work experience in a similar role. Should demonstrate outstanding professional competence in storekeeping and staff supervision;
•    Good understanding of the procurement and supply chain procedures
•    Hands-on experience with Sage Evolution software will be an added advantage
•    Solid organizational skills
•    Should possess excellent interpersonal and communication skills;
•    Proficiency in MS Office
