Job Description/Requirements

A. DEPARTMENT OF AGRICULTURE, LIVESTOCK AND FISHERIES

13. Office Secretary JOB GROUP CPSB 12 (1 POST)

This position will involve providing Secretarial, Administrative and Office Managerial services.

DUTIES AND RESPONSIBILITIES
i.    Computer typing from drafts or manuscripts.
ii.    Operating Office equipment such as printing machines and documents scanners.
iii.    Attending to Visitors/Clients.
iv.    Filing Office documents.
v.    Ensuring security of Office records, equipment and classified materials.
vi.    Preparing responses to simple routine correspondences, mails and other information for the Office.
vii.    Receiving and disseminating correspondences, mails and other information for the Office.
viii.    Making and following up on appointments.
ix.    Managing and accounting for Office equipment and materials.

REQUIREMENTS FOR APPOINTMENT
i.     Kenya Certificate of Secondary Education, mean grade C- (Minus) with at least C (Plain) in English Language or its equivalent qualification from a recognized Institution.
ii.     Knowledge and relevant experience as a Secretary or in Office Administration lasting not less than three (3) years.
iii.     Certificate in Computer Application (Windows, Ms. Word, Ms. Excel, Ms. Access and Internet) from a recognized Institution will be an added advantage.
iv.     Satisfy the requirements of Chapter Six of the Constitution of Kenya 2010 on Leadership and Integrity.
a.  Clearance Certificate from Higher Education Loans Board (HELB)
b.  Tax Compliance Certificate from Kenya Revenue Authority (KRA)
c.  Clearance from the Ethics &Anti-Corruption Commission (EACC)
d.  Clearance from Credit Reference Bureau (CRB)
e.  Certificate of Good Conduct from the Directorate of Criminal Investigation
Competences
✓ Good Records and Information Management Skills
✓ Public Relations and Customer Care Skills.
✓ Good communication and confidentiality skill and
✓ Good in time management.n (EACC)
e)  Clearance from Credit Reference Bureau (CRB)
