Job Description/Requirements

JOB PURPOSE
As the first point of contact for the company this position, provide administrative support across the organization. Handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

DUTIES AND RESPONSIBILITIES
•    Serve visitors by greeting, welcoming, directing and addressing them appropriately
•    Answer, screen and forward any incoming phone calls while providing basic information when needed
•    Take and relay messages
•    Provide information to callers while dealing with queries
•    Direct persons to correct destination
•    Ensure knowledge of staff movements in and out of organization
•    Provide general administrative and clerical support
•    Dispatching cheques while updating the relevant inventory
•    Receive and sort mail and deliveries
•    Maintain stationary store and issue while updating relevant inventory
•    Maintain food and office store and update relevant inventory
•    Control inventory relevant to reception area
•    Receiving and Dispatching parcels and letters
•    Ensuring cleanliness of the reception area
•    Manage the fleet schedules by coordinating vehicle bookings by staff
•    Any other tasks as assigned to you by the management from time to time.

JOB SPECIFICATIONS:
Qualifications include:

•    Proven working experience in a front office handling receptionist responsibilities
•    Proficient with Microsoft Office Suite
•    Professional appearance
•    Solid communication skills both written and verbal
•    Ability to be resourceful and proactive in dealing with issues that may arise
•    Ability to organize, multitask, prioritize and work under pressure
•    KCSE or equivalent coupled with diploma in any field
•    Attention to detail
•    Teamwork and communication skills
•    Adherence to health and safety regulations (e.g. constant use of protective gear)
