Job Summary

To supervise all security operations within the allocated Area/Zone, including Guards/In charges supervision, in an efficient and cost effective manner ensuring high customer care standards and good productivity. To provide operational leadership and general responsibility of all security activities in the allocated Area/Zone in line with the company objectives and strategies. Must always look for new business, directly supervising Guards, In charges and site Supervisors.

DEPARTMENT: OPERATIONS 

JOB TITLE: SECURITY SUPERVISORS -PRIVATE SECURITY OPERATIONS

GRADE: SUPERVISION


The Supervisor is responsible to the Operations Manager and the General Manager.


Purpose of the Job: 


To assist the General Manager on daily effective handling of Guards attendances, handling all arising occurrences efficiently, Prudent payroll processing implementation of security operational strategies as per the operational manual within the allocated Area/Zone. Security operations must be compliant with Private security regulatory authority guidelines and the company strategic sustainable development objectives, also aids in incidences investigations.



Key Accountabilities: 


1. Ensuring adequate Guards attendances as required and agreed with the customers in all allocated assignments.

2. Make proper and good use of all control documents and ensure accuracy of recorded details i.e. Checking lists, work Tickets, and Motorbike movement sheets.

3. In liaison with operations manager -carry out Security surveys and develop security surveys and risk assessments reports before Guards deployments.

4. Assist the General to implement, develop policies & procedures to maintain quality security standards. 

5. In Liaison Operations Manager carry out health and safety management plans in all allocated assignments.

6. Ensure and follow up on implementations of Standard operating procedures and service level agreements in all allocated.

7. In Liaison Operations Manager ensure all assignments have assignment instructions as agreed with clients.

8. Oversee all the security operations of the allocated Area/Zone and ensure the safety of company security staff and advise the management on all arising threats accordingly.

9. Enhance Business growth and development in the allocated Area/Zone.

10. Handling staffs discipline in consultations with the Operations Manager and follow up to sustain a high-performance culture in the allocated Area/Zone.

11. Take good care of allocated company resources and enhance cost-cutting measures and ensure there are controls in place to avert misuse and wastage of company resources.

12. Customer relations and ensuring total customer satisfaction beyond expectations in the allocated Area/Zone


Duties and responsibilities:

1. Ensure all guards are visited within the allocated shift and generate periodical feedback reports.

2. Participate in the investigation of accidents and incidents in the allocated zone and discover causes and handle customer complaints in Liaison Operations Manager.

3. Assist in identify Training Needs for various guarding assignments in liaison with the Operations Manager with a view of bridging the performance gap. 

4. In Liaison with Operations Manager assist to carry out security surveys and risk assessments. 

5. Support in the management of security audits to meet statutory and or Customer requirements. 

6. Ensure all action plans directed by General Manager and agreed with clients are implemented within agreed timescale.

7. Keep an inventory of training needs and training plans to be carried out in the allocated Area/Zone.

8. Ensure all assignments are well covered with the correct number of Guards and no excess or ghost workers.

9. Ensure timely continuance advising clients on security Guards changes.

10. Ensure all assignments are supervised and monitor supervision activities and assisting on disciplinary process in liaison with Operations Manager. 

11. Carry out any other duties as directed by your seniors from time to time.


SUPERVISORS/RIDERS STANDING INSTRUCTIONS: 


• To report on duty either 0545-1800hrs or 1745-0600hrs being on time and in full clean uniform including beret, clean shaven, smart and with shoes/boots polished.

• To behave in a respectable and disciplined manner while on duty always.

• Must attend the morning/evening dispatch parade addressed by the day/night Duty Officers.

• Must sign in and sign out in the provided checking list, work tickets and registers indicating time in/out on a daily basis.

• Must always conduct a proper assessment of the motorbike during take over and fill in the necessary handing/taking over forms on a daily basis.

• The motorbike MUST be clean at all times. 

• You will ensure the motorbike has all the required items as per NTSA requirements including a valid insurance sticker.

• While on the road must observe all Traffic Rules and requirements.

• You will ensure you have a valid rider’s License.

• You will be required to log in with the controller as soon as you take over duty, before exiting Hatari House/ Offices. 

• You will not make unauthorized trips with your motorbike. 

• In case the motorbike has a mechanical problem or is due for service, you will inform the dispatching Duty Officer or the Operations manager in charge of fleet accordingly. You will also check to confirm that all is well once the bike comes back from workshop.

• You will immediately report all anomalies for further action e.g. worn out tyres, overheating, hard start, etc. 

• Must ensure the bike has enough fuel to run through the daily shifts. You will also ensure the bike is fueled FULL TANK always with every fueling done and sign against the fueling details to confirm they are correct.


THE FOLLOWING MUST BE STRICTLY ADHERED TO:

• In case the bike breaks down while on duty, you MUST immediately report this to control room and/or the Duty Officers/ Operations manager for further action.

• Failing to respond to a radio call from control room is a serious offence. You MUST respond to radio calls promptly.

• You will be required to raise control room and report as soon as you are done with each round of supervision – NOT after you return to Hatari House/Offices at the end of the shift. If for some reason you are unable to reach control room from your location, you will move to the next location and raise the controller from there.

• If you are moving to a location where you will be unreachable, again you will raise control room and report, and once you get back to an area where there is coverage you will again raise control room and report.

• You MUST book each visit in legible handwriting in all assignment OBs /checklists. You will also be expected to peruse OB entries for the last 24hrs to see if there were any incidences not within your knowledge.

• Ensure that guards make legible entries in the OBs

• In instances where you have combined areas or have had to stand in at an assignment due to shortages, that deviation report MUST be reported to control room and included in the Deviation Report section of the Supervision Report.

• If you have not been to ALL assignments within your area during a shift, you MUST give this report to control room stating why you have not visited all assignments.

• You are expected to complete supervision on each shift. If you have not completed the required rounds, you will also report to control room why that is so.

• On each visit, you will check to ensure the guards and in charges are properly turned out, clean shaven, and that all is well. You MUST also ensure that you are known to the clients.

• On each visit you will ensure that the guards adhere to all assignment instructions and SOPS.

• All correspondences received from guards MUST be properly documented in the Supervision OB /checklists, and handed over for action by the Operations manager/Duty Officer.

• If you must stop a guard’s off duty verbally, you MUST also book the same in the assignment OB.

• You will not grant a guard time off/days off without proper authorization/documentation and approvals by the respective Operations Managers. 

• You MUST do a proper brief/handing over to the reliever supervisor or colleague whenever you are proceeding on off duty or days on all issues in your area.

Upon conclusion of the shift, the Supervisor will in the provided Checking list make an elaborate written report capturing the state of the motor bike/ vehicle and crew as and when the visit took place. Any other observation or recommendation to also be documented.


THE FOLLOWING IS STRICTLY FORBIDDEN

• Absenting yourself from duty without permission or proceeding on off days without necessary authorization/documentation.

• Smoking while on duty or whilst in Hatari Security uniform. Eating or chewing gum/miraa whilst on duty.

• Slovenly & roguish behavior while on duty or while riding including use of rude/abusive language to other staff/road users. Reckless riding and disregard for traffic rules.

• Refusing to take/follow instructions issued by Operations Manager or Duty officer or Control Room. 

• FUEL SIPHONING/THEFT will warrant summary dismissal.


Requirements:

1. O’ Level qualifications with a minimum grade of D + in K.C.S.E.

2. Diploma in Security Management/Operations or Diploma in Security Management.

3. Over 5 years of experience in a Security Operations supervision role.

4. Competent Rider with duly renewed license.

5. Computer usage certificate as an added advantage.
