Accounts Officer
Department: Operations
Reports To: Head of Business Development & Operations
The Accounts Assistant at Adele Dejak will support the Finance department by performing a variety of accounting and financial tasks. The primary responsibilities include managing the company's financial records, processing invoices, reconciling bank statements, and providing administrative support to ensure efficient operation of the finance office
Financial Record Maintenance:
- Assist in maintaining accurate financial records and ensure compliance with all financial regulations.
- Update accounts receivable and accounts payable records in the accounting system.
- Process payments and invoices accurately and within expected time periods.
Bank Reconciliation:
- Perform daily, weekly, and monthly bank reconciliations.
- Investigate and resolve discrepancies between bank statements and company records.
Invoicing and Payment Processing:
- Prepare and send invoices to customers and follow up on outstanding payments.
- Process employee expense claims and supplier invoices for payment.
Reporting:
- Assist in the preparation of financial reports, including monthly management accounts, budget analysis, and cash flow statements.
- Provide support during the audit process by preparing documentation and responding to audit queries.
Data Entry and Administration:
- Enter financial data into the accounting software and maintain orderly financial filing systems.
- Provide administrative support, including filing, scanning, and managing correspondence.
Compliance and Control:
- Ensure compliance with company policies, accounting standards, and legal requirements.
- Assist in the development and implementation of internal control procedures.
Collaboration and Support:
- Work closely with the Finance Manager and other team members to ensure smooth financial operations.
- Provide support to other departments as needed with financial and accounting tasks.
Qualifications:
- Diploma in Accounting, Finance, or related field. A degree is an added advantage.
- Minimum of 2 years of experience in an accounting or finance role.
- Proficiency in accounting software (e.g., QuickBooks, Sage, or similar).
- Strong knowledge of MS Office, particularly Excel.
- Excellent organizational and time management skills.
- Attention to detail and high level of accuracy.
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Experience in a similar industry or sector.
- Knowledge of payroll processing and tax regulations.
- Ability to handle confidential information with integrity and professionalism.
