About the role
The Travel and Events Coordinator at BURN will be responsible for managing all aspects of the organization’s travel arrangements and event coordination. This role requires a detail-oriented individual who can efficiently plan, organize, and execute travel logistics and event planning, ensuring cost-effectiveness and compliance with company policies.
Duties and Responsibilities
Coordinate and manage all travel bookings, including flights and accommodation
Ensure travel arrangements comply with BURN’s approved travel policies and budget limits.
Research and compare available travel and hotel accommodations to provide the best options based on cost and convenience.
Assist expatriates with their relocation process, including house searches, securing accommodation, and settling in.
Provide ongoing support to expatriates for any additional needs related to their relocation.
Assist in the procurement of visa applications and processing.
Ensure all travel-related documentation is up-to-date and compliant with international travel regulations.
Prepare detailed travel itineraries for all staff, including flight details, and accommodation information, and distribute itineraries and schedules to appropriate staff promptly.
Maintain accurate records of travel expenses and prepare reports as required.
Develop and maintain relationships with travel agencies, hotels, and other vendors to negotiate favourable rates and ensure quality service.
Monitor and evaluate the performance of service providers to ensure they meet BURN’s standards and requirements.
Skills and Experience
Bachelor’s degree in business administration, Hospitality Management, or a related field.
Minimum of 3 years of experience in travel coordination, event planning, or a similar role.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficiency in using travel management software and Microsoft Office Suite.
Ability to work independently and handle multiple tasks simultaneously.
High level of accuracy in preparing and reviewing travel itineraries and expense reports.
Ability to anticipate travel-related issues and resolve them proactively.
Commitment to providing high-quality service to internal and external clients.
Ability to work in a fast-paced environment and handle unexpected changes in travel plans or event schedules.
