Job summary

The Conveyancing Clerk will support the legal team by handling property transfers, title registrations, land searches and legal documentation in compliance with Kenyan land laws. The role acts as a liaison between the Company, clients, law firms and financial institutions to ensure smooth property transactions.

Job descriptions & requirements

1. Draft and review Letters of Offer and Sale Agreements, ensuring they accurately reflect the commercial terms agreed upon by Sales Managers.

2. Act as the primary liaison between the company and outsourced advocate firms, facilitating the preparation and exchange of legal instruments.

3. Serve as the central link between sales executives and clients to provide updates and manage the documentation process.

4. Conduct official land searches and obtain all necessary statutory approvals, clearances, and consents required for conveyancing.

5. Lodge and collect documents at various Land Registries, actively monitoring the registration of transfers, charges, cautions, and discharges.

6. Coordinate with Lands officials and other regulatory stakeholders to expedite the registration process while adhering to all legal requirements.

7. Verify with the Finance Department that the purchaser has completed full payment before the release or transfer of completion documents to the purchaser's advocate.

8. Maintain a comprehensive and accurate register of all transactions, tracking every stage from the initial offer to final registration.

9. Provide structured weekly progress updates to the supervisor regarding the status of all active conveyancing matters.

10. Organize and maintain systematic physical and digital files for all property transactions in accordance with firm procedures and statutory requirements.

11. Execute general office duties and remain flexible in handling field-based assignments to ensure the smooth flow of transactions.

12. Ensure timely picking and delivery of parcels from the company offices and other assigned destinations.
