Job Summary

Administrative Officer to work in close collaboration with Partners, Associates and Support Staff to ensure consistent service delivery and firm operations

Job Description/Requirements

WHERE: leading law firm in Nairobi, Kenya with countrywide presence and international affiliation.


REPORTING TO: Partners


DUTIES:

1. General Office Management.

2. Ensuring cost effectiveness.

3. Overseeing billing and accounting.

4. Overseeing digital presence by the firm.

5. Overseeing tendering and bid preparation.

6. Handling HR including recruitment, induction, placement and disciplinary.

7. Forecasting firm needs.

8. Ensuring optimum functioning of the firm.


EDUCATION

1. Degree from a recognized university in Kenya. Degree in Business Administration or Human Resource Management is desirable. 

2. CPA or HR Training are an added advantage.

3. 3 years experience in administration in  a busy organization  


COMPETENCES


1. PROFESSIONALISM: 

a) Ability to perform a broad range of administrative functions, e.g., budget/work programme, human resources, database management, etc.  

b) Is conscientious and efficient in meeting commitments, observing deadlines and achieving results; 

c) is motivated by professional rather than personal concerns.

d) Shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. 


2. PLANNING & ORGANIZING 

a) Develops clear goals that are consistent with agreed strategies and identifies priority activities and assignments; adjusts priorities as required.  

b) Allocates appropriate amount of time and resources for completing work. 

c) Foresees risks and allows for contingencies when planning. 

d) Monitors and adjusts plans and actions as necessary and uses time efficiently. 


3. CLIENT ORIENTATION  

a) Considers all those to whom services are provided to be “clients” and seeks to see things from clients’ point of view. 

b) Establishes and maintains productive partnerships with clients by gaining their trust and respect.  

c) Identifies clients’ needs and matches them to appropriate solutions. 

d) Monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems. 

e) Keeps clients informed of progress or setbacks in projects.  

f) Meets timeline for delivery of products or services to client.
