Job Description/Requirements

Africa Inland Mission International, a non-profit organization, is seeking motivated, servant hearted, devote follower of Jesus Christ interested in meeting the logistical needs of the mission community in East and Central Africa.


Job Purpose/Objective

1. Provide Coverage of the Reception Desk

  •  Receive each visitor politely and helpfully and direct them to the appropriate person/office.
  •  Ensure the Reception area is clean and organized and Coordinate with facilities department on the cleaning schedule for the offices.
  •  Maintain office security by following safety procedures and controlling access via the reception desk. Follow up on any security concerns with the AIM AVSEC officer or their delegate promptly.
  •  Provide tours of ABS Offices at Wilson Airport as requested by managers/supervisors.
  •  Organize, preserve, scan, laminate and file records as needed.


2. Serve as a Communication Point Person with Facilities Department

  •  Ensure ABS Vehicles (and keys) based at Wilson Airport are booked and signed back in properly
  •  Receive all facilities maintenance requests for AIM Air, ensure they are compiled on the request forms and forwarded to ABS Facilities supervisor in a timely manner
  •  Liaise with ABS Facilities regarding vehicles based at the Wilson Airport and follow up with Facilities for appropriate action including repairs, fueling, renewal of gate passes etc.


3. Serve as a Communication Point person with Great Commission Properties

  •  Serve as a point person for AIM AIR’s communication with GCP Manager in consultation with AIM AIR’s Executive Assistant.
  •  Alert GCP manager of issues related to GCP properties on behalf of AIM AIR.


4. General Department Administrative Support.

  •  Assist in processing intern applications for both Flight and Maintenance department’s airside passes with KAA.
  •  Assisting Flight and Maintenance departments in booking personnel for their training with ATOs. (Approved Training Organizations)
  •  Assist in collecting, organizing and retaining flight records and sending all receipts to the finance department in a timely manner.
  •  Process Payments for goods and services.
  •  Assist in the administrative functions of aircraft Maintenance WO’s
  • Support for departmental needs as directed by the department manager.


Qualification.

Essential

  • Diploma in Business Administration/Management

Preferred/Desired

  •  Degree in Business Administration/Management
  •  Valid certificate of good conduct
  •  Be familiar with Microsoft Office Suite and computer literate enough to learn new programs.
  •  Be able to type at least 65 words per minute


Experience:

Essential

  •  Minimum 1-year work experience in an Administration position Preferred
  •  Minimum of 2 years’ office administration in a professional setting in the aviation industry.
  • Successful completion of AIM AIR initial training for the position


Communication demands

  • Professional written and verbal communication in English.
