Job summary
The Visa Desk Coordinator is responsible for managing end-to-end visa application services for individual corporate travelers and group tour clients, covering Africa, Europe, UK, USA, Asia, and other global destinations. The role is both operational and client- facing, requiring strong attention to detail, deep visa knowledge, and excellent relationship management with corporate travel coordinators and group tour contacts.

DUTIES AND RESPONSIBILITIES
Corporate Visa Advisory & Sales
- Serve as the primary visa advisor for assigned corporate accounts & group travel applicants
- Advise corporate travel coordinators and travellers on:
- Visa requirements
- Documentation
- Timelines and risks
- Convert visa enquiries into confirmed applications.
- Upsell:
- Travel Insurance.
- Document support services (Company Courier Document Collection)
- Drive consistent growth in visa volumes and revenue per account.
Visa Application Management (End-to-End)
- Manage visa applications for corporate & group travellers including: UK, Schengen,
- USA, Canada, Middle
- East, Africa and other key destinations
- Ensure:
- Correct documentation
- Accurate forms
- Timely submissions
- Track applications and provide proactive status updates to clients
Risk Assessment & Client Expectation Management
- Assess visa strength before accepting applications
- Clearly advise clients where:
- Chances are weak
- Timelines are unrealistic
- Issue written advisories and disclaimers where required
- Escalate high-risk cases to the Travel Manager before proceeding
Pricing Authority & Revenue Control
- Independently price visa services in line with approved fee structures
- Protect service margins while remaining competitive
- Ensure:
- Fees are clearly communicated
- All billable services are invoiced
- No free work outside approved scope
- Corporate Relationship Management
- Maintain close working relationships with:
Corporate travel coordinators/ bookers
- Group Tours Department.
- Become a trusted advisor by:
- Being accurate
- Being honest
- Not over-promising outcomes
Compliance & Documentation Control
- Ensure all visa files are:
- Complete
- Well documented
- Audit-ready
- Maintain strict confidentiality of client information
- Adhere to embassy, VFS, TLS, and internal SOPs
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Tourism Management, International Relations Business or related field
- Minimum 5 years’ experience in a Travel Management Company (TMC) or travel agency
- Proven experience handling Corporate visa applications, Multiple destinations with complex requirements
- Prior experience as a visa consultant or senior travel consultant is mandatory
- Strong working knowledge of UK, Schengen, USA, Canada, Middle East visa processes, VFS, TLS, embassy booking systems
- Excellent document verification and attention to detail
- Comfortable managing multiple applications concurrently
