Our client in the event industry are looking to hire a The Facilities Manager will be responsible for ensuring that the company's offices, workspaces, equipment-support infrastructure and facilities are safe, functional, well maintained, secure and fit for purpose.
The role will oversee day-to-day facilities operations, maintenance, cleaning, security, utilities, contractor management, health and safety, office infrastructure and facilities-related procurement.
Working within an events, production and experiential environment, the Facilities Manager must be highly responsive and capable of coordinating facilities requirements during both normal office operations and periods of increased activity associated with events, productions, client meetings and equipment movements.
Key Responsibilities
Facilities Operations
- Manage the day-to-day operation and maintenance of facilities.
- Ensure offices, workspaces, meeting areas, stores, production/support areas and common areas are maintained to a high standard.
- Conduct regular inspections of facilities and identify maintenance, safety and operational issues.
- Develop and maintain preventive maintenance schedules.
- Coordinate repairs, servicing and corrective maintenance.
- Ensure facilities are operational and ready to support business activities.
- Maintain accurate facilities records, asset registers and maintenance logs.
Building & Equipment Maintenance
- Coordinate maintenance of electrical, plumbing, HVAC, lighting, access-control and other building systems.
- Ensure generators, backup power systems and other critical infrastructure are appropriately maintained.
- Coordinate servicing and inspection of facilities equipment.
- Monitor breakdowns and ensure timely resolution.
- Develop preventive maintenance plans to minimise operational downtime.
- Maintain records of warranties, service contracts, inspections and maintenance activities.
Health, Safety & Environment
- Support implementation of workplace health and safety requirements.
- Conduct routine workplace inspections and coordinate corrective actions.
- Identify facilities-related hazards and ensure they are addressed.
- Coordinate fire safety systems, emergency preparedness and evacuation arrangements.
- Ensure fire extinguishers, alarms, emergency exits and related systems are inspected and maintained.
- Support incident reporting and investigation where facilities are involved.
- Promote good housekeeping and safe working practices.
- Work closely with the HSE/SHEQ function where applicable.
Security & Access Management
- Coordinate with security service providers to maintain appropriate security standards.
- Monitor access-control arrangements for employees, visitors, contractors and suppliers.
- Ensure visitor and contractor access procedures are followed.
- Review security incidents and coordinate appropriate corrective action.
- Support emergency response and business-continuity arrangements.
Cleaning, Hygiene & Workplace Standards
- Manage cleaning and housekeeping service providers.
- Establish and monitor cleaning schedules and standards.
- Ensure washrooms, kitchens, reception, offices and common areas are maintained to appropriate hygiene standards.
- Monitor waste management and disposal.
- Address pest-control and sanitation requirements.
- Conduct regular inspections and document service-provider performance.
Contractor & Vendor Management
- Identify and coordinate qualified facilities service providers.
- Obtain and evaluate quotations in accordance with company procurement procedures.
- Manage contractors performing maintenance, repairs, cleaning, security and other facilities services.
- Ensure contractors comply with company safety and access requirements.
- Monitor contractor performance, service quality and response times.
- Maintain an updated database of approved facilities suppliers.
- Verify completion of works before processing relevant documentation for payment.
Utilities & Cost Management
- Monitor electricity, water, internet, waste and other facility-related utilities.
- Track consumption and identify opportunities for cost reduction.
- Develop and manage facilities-related budgets.
- Monitor expenditure against approved budgets.
- Identify opportunities to improve energy efficiency and reduce operating costs.
- Ensure facilities-related purchases provide value for money.
Office & Operational Support
- Coordinate office moves, workspace changes and facility improvement projects.
- Support setup and breakdown of internal functions, meetings and corporate activities where facilities support is required.
- Coordinate facilities requirements for client visits and major internal events.
- Ensure adequate power, lighting, seating, access, cleaning and other facility requirements are available.
- Work closely with Operations, HR, Finance, IT, HSE/SHEQ and other departments.
Event & Production Support
- Provide facilities support during major events, productions and operational activities.
- Coordinate site-readiness requirements where the company is preparing for or hosting activities.
- Support planning for temporary power, lighting, access, sanitation, security and other site infrastructure where required.
- Coordinate with production and operations teams to address site-related requirements.
- Ensure facilities-related risks are identified and addressed before activities commence.
Compliance & Documentation
- Maintain facilities policies, procedures, schedules and records.
- Maintain inspection, maintenance and service documentation.
- Ensure statutory inspections and certifications applicable to facilities are tracked and renewed on time.
- Maintain emergency contacts and escalation procedures.
- Prepare regular facilities reports for management.
- Track outstanding maintenance issues and corrective actions.
Qualifications & Experience
- Diploma or Bachelor's degree in Facilities Management, Hospitality, Property Management, Inventory Management or a related discipline.
- 3–5 years' relevant experience in facilities, property, operations, maintenance or administration.
- Experience managing contractors, suppliers and service providers.
- Experience managing workplace maintenance and facilities budgets.
- Working knowledge of occupational health and safety requirements.
- Proficiency in Microsoft Office, particularly Excel, Word and reporting tools.
- Strong facilities and operational management skills.
