Job summary
We are looking for a professional, organised and service-oriented Front Desk & Administrative Assistant to manage our reception area and support the day-to-day administration of the office.The successful candidate will be the first point of contact for visitors, clients and callers. Must have 3 or more years of similar work experience.

Key Responsibilities
Welcome visitors and clients professionally, establish the purpose of their visit and notify the appropriate employee.
Answer, screen and route incoming telephone calls, emails and general enquiries.
Maintain the reception area and meeting rooms in a clean, organised and presentable condition.
Manage visitor records, incoming and outgoing correspondence, courier services and deliveries.
Schedule meetings, maintain calendars and assist with meeting-room preparation.
Prepare routine letters, reports, spreadsheets, presentations and other office documents.
Maintain accurate electronic and physical filing systems.
Monitor office stationery and pantry supplies, prepare purchase requests and coordinate with approved suppliers.
Support travel arrangements, appointments, staff events and other administrative activities when required.
Assist with data entry, document scanning, printing, photocopying and record keeping.
Handle confidential company, employee and client information responsibly.
Report reception, facility or equipment issues promptly and follow up until they are resolved.
Perform other reasonable administrative duties assigned by the supervisor.
Qualifications and Experience
Diploma or certificate in Business Administration, Secretarial Studies, Front Office Operations, Customer Service or a related field.
At least one year of relevant experience in reception, front-office administration or office support.
Strong spoken and written English; proficiency in Kiswahili is highly desirable.
Good working knowledge of Microsoft Word, Excel, Outlook and common office equipment.
Strong telephone etiquette, customer-service and interpersonal skills.
Good organisational skills, attention to detail and ability to prioritise tasks.
Professional appearance and a calm, courteous manner.
Dependable, punctual and able to work with limited supervision.
High level of integrity and discretion when handling confidential information.
Desirable Skills
Experience maintaining office records or coordinating suppliers.
Basic bookkeeping, petty-cash or expense-recording experience.
Experience working in a multicultural environment.
Additional language skills relevant to our customers or business operations.
