The Main Purpose of Your Role
A Knowledge Centre Solutions Assistant is responsible for supporting the Knowledge Centre department and team members, undertaking basic research activities, storage and retrieval of data relating to Employer of Record (EoR) country solutions, providing support in answering basic enquiries or handling and distributing queries to the relevant team members, updating internal software systems with relevant data on solutions and services providers, and general administrative tasks.
What Will You Be Doing as the Knowledge Centre Solutions Assistant?
Main Responsibilities

• Support the research and collation of data required to assist the Knowledge Centre (KC) Solution Specialists and Team Lead to engage with prospective Employer of Record (EoR) and complementary Value-Added Service (VAS) service providers to produce EoR or VAS solutions.
• Research, collate, validate, and document data and information necessary in the process of establishing a new EoR or VAS solution, or to assist in the update of existing EoR or VAS solutions, in accordance with departmental processes set out by the KC Team Lead.
• Support KC Solution Specialists and Team Lead for liaison with local and international service providers to obtain cost-effective and efficient contracted services to facilitate new solutions.
• Provide support with the audit, checking and quality control of all EoR factsheets and breakdown of cost (BOC) documents following internal departmental processes and acting in conjunction with relevant internal departments e.g., payroll, contracts, and compliance department.
• Liaise and negotiate with local and international service providers (e.g., legal, tax, compliance) to assist KC Solutions Specialists and Team Lead to secure services.
• Maintain a standardised and consistent use of internal software systems to record and monitor EoR and complementary VAS services and to ensure management and maintenance of our internal database of service provider companies and contacts for source information and effective communications.
• Working on the direction of the KC Solution Specialists or Team Lead, ensure all new information received in relation to EoR solutions or other complementary VAS services, through internal solution research and development, or provided from other departmental information sharing processes (email, Viva Engage notifications, other chat functions etc.,) are verified and entered into the new internal software ‘The Single Source of Truth (SSOT)’ in accordance with provided guidelines.
• Support KC Solutions Specialists and Team Lead to build rapport with local and international service providers, including administrative support with ongoing regular audits to ensure relevance and compliance, to assist team members to optimise pricing and maintain efficiency of the solution.
• Ensure accurate and timely communication of new and updated solution information to internal stakeholders.
• Track and manage updates, version control, and distribution of solution information.
• Ensure continuity of information entered the SSOT is maintained and reviewed on a regular basis, in accordance with provided guidelines
• Assist KC Solution Specialists and Team Lead with research into competitor activity to enable them to maintain a reasonable oversight of competitor activities.
• Ensure regular reporting and liaison with the departmental manager, through regular meetings and one-to-one’s including discussions around resource, priorities, workloads, and challenges, providing recommendations for ways to improve effectiveness and efficiency.
• Provide administrative support to the KC Solution Specialists and Team Lead for any additional projects, data, or solution requirements, as necessary

Qualifications
Essential
o Educated to degree level; or comparable training/work experience (minimum of 6 years, ideally in a corporate enterprise)
Desirable
o Business administration qualification
Knowledge & Experience
Essential
o Experience of at least 3 years in an administrative position within a consultancy or services organization.
Desirable
o Familiarity with any or all the following: Business expansion, International Employment Law, Payroll, HR, Employer of Record (EoR), Corporate Immigration.
o Additional foreign language(s).
