Our client: Our client is an independent Kenyan based law firm specializing in Legal Services, Legal Advisory, and Training services and is seeking an effective and versatile legal administrator to join their growing team. This is a pivotal role for someone who thrives on ensuring seamless efficiency, supporting a dynamic legal team, and contributing directly to the firm's success and client satisfaction.
Key Responsibilities:
1. Provide comprehensive administrative and secretarial support to the legal team.
2. Prepare, file, and manage legal documents, correspondence, and case files with utmost accuracy.
3. Serve as the primary point of contact for clients, building trust through clear communication and confidentiality.
4. Oversee the firm’s billing, accounts payable, expense tracking, and office budget management.
5. Manage office operations, including inventory, supplier liaison, facilities, and coordination with IT support for equipment and cybersecurity.
6. Manage the Firm’s calendar.
7. Train, supervise, and coordinate the administrative support staff.
8. Contribute to case reviews by organizing information and alerting the legal team to critical deadlines or actions.
9. Assist in preparation of Firm instructions, quotations and fee notes.
The Ideal Candidate will:
➢ Hold a Diploma or Bachelor’s degree in Business Administration, Legal Studies, Office Management, or a related field.
➢ Have 3+ years of proven experience in an administrative, office management, or legal secretary role, preferably within a legal or professional services environment.
➢ Possess basic financial acumen with experience in billing, basic bookkeeping, and budgeting.
➢ Be a tech-savvy individual with an understanding of office systems and digital records management.
➢ Exhibit outstanding organizational, multitasking, and problem-solving skills.
➢ Be a proactive communicator with excellent interpersonal skills and a client-service mindset.
➢ Have leadership potential and the ability to train and guide support staff.
➢ Demonstrate integrity, discretion, and attention to detail.
