Legal Assistant — Conveyancing Specialist

Job descriptions & requirements
- Support conveyancing transactions from instruction to completion, including residential and commercial matters.
- Prepare, review, and assemble conveyancing documentation: contracts of sale, transfer documents, mortgage/deed documents, settlement statements, discharge of mortgage, searches, and other legal documents.
- Conduct and review property searches, title investigations, PPSR/land registry checks, and requisitions on title.
- Manage settlement processes: liaise with lenders, settlement agents, real estate agents, and other solicitors; prepare settlement adjustments; attend or coordinate settlements as required.
- Draft correspondence, client letters, and transaction updates; maintain accurate records and file notes.
- Open and maintain client matter files in case management systems; ensure proper billing, time recording, and trust accounting compliance.
- Handle client enquiries professionally, provide timely updates, and escalate issues as necessary.
- Coordinate document exchange and ensure deadlines and statutory timeframes are met.
- Maintain up-to-date knowledge of conveyancing practice, legislation, and land registration procedures.
- Perform general office and legal administrative duties as required.
- Minimum 1–2 years’ experience in conveyancing or property law support.
- Experience preparing conveyancing documentation and managing full transaction lifecycle.
- Familiarity with land registry/land titles systems, property searches, and mortgage/lender processes.
- Strong understanding of accounting processes and billing practices.
- Excellent attention to detail and strong organizational/time-management skills.
- Clear written and verbal communication; client-facing professionalism.
- Ability to manage multiple matters and deadlines under pressure.
- Strong teamwork orientation and ability to work independently when required.
- High level of discretion and confidentiality.
- Proficient with Microsoft Office and document management systems.
- Paralegal qualification, legal studies diploma, or equivalent.
- Experience with electronic conveyancing platforms.
- Previous experience in residential and commercial conveyancing.
