Office Administrator
Job summary
HY Expert Africa in TZ is looking for a highly organized and proactive Office Administrator to ensure the smooth day-to-day operation of our office. You will act as the primary point of contact for employees and visitors, managing logistics, communications, and clerical duties with professionalism and efficiency.
Job descriptions & requirements
- Office Operations: Oversee daily office management tasks, including supervising cleaning, security, and maintenance staff to ensure a professional work environment.
- Communication Management: Handle incoming calls, emails, and physical mail; redirect inquiries to appropriate departments and greet office visitors.
- Logistics & Scheduling: Coordinate and maintain the company calendar, schedule meetings, and arrange local/international travel, visas, and hotel bookings.
- Supplies & Procurement: Monitor office inventory (stationery, kitchen supplies, etc.), manage vendor relationships, and place orders to avoid interruptions in standard procedures.
- Financial Admin: Assist with basic bookkeeping tasks, including processing invoices, tracking office expenses, and managing petty cash.
- Data & Records: Organize and maintain physical and digital filing systems for important company documents, ensuring they are accurate and easily accessible.
- HR Support: Assist with onboarding new employees, managing personnel files, and supporting job postings or interview schedules.
Requirements
- Bachelors degree in Business Management, Secretarial Studies or any related field
- Minimum of 2 years Experience in office administration
- Excellent communication skills
- Proficiency in English, written and spoken.
