ABOUT THE COMPANY
The Insurance Regulatory Authority is a statutory government agency established under the Insurance Act (Amendment) 2006, CAP 487 of the Laws of Kenya to regulate, supervise and develop the insurance industry. It is governed by a Board of Directors which is vested with the fiduciary responsibility of overseeing operations of the Authority and ensuring that they are consistent with provisions of the Insurance Act.
JOB SUMMARY
Job PurposeTo support efficient records management, control and maintenance of the Authority’s records in accordance with established records management standards and procedures.Person SpecificationsFor appointment to this grade, an officer must have:i. Kenya Certificate of Secondary Education (KCSE) mean grade C- (minus) or equivalent qualification from a recognized institution.ii. Certificate in Records Management / Information Management / Office Management or equivalent qualification from a recognized institution.iii. At least three (3) years relevant work experience.iv. Proficiency in computer applications e.g., MS Word, Excel, PowerPoint and email.Competencies and Skillsi. Good communication skillsii. Organizational skillsiii. Attention to detailiv. Ability to work under pressurev. Teamwork and interpersonal skills
RESPONSIBILITIES
Key Duties and Responsibilitiesi. Receiving, sorting and distributing incoming mail, correspondence and records.ii. Opening, dating and logging incoming files, documents and correspondence.iii. Maintaining and updating the records registry.iv. Filing and retrieval of records in line with retention and disposal schedules.v. Preparing and dispatching records and correspondence.vi. Organizing and ensuring proper storage of inactive, semi-active and active records.vii. Maintaining records movement control register.viii. Updating records database and registers.ix. Assisting with periodic physical verification of records in all formats.x. Ensuring compliance to records management policies, procedures and standards.xi.
