Accounts Assistant
Job summary
To support the accounting function by handling data entry, basic reconciliations, documentation, and assisting with daily financial operations including cash and stock records.
Job descriptions & requirements
1. Data Entry & Record Keeping
- · Record daily transactions (sales, expenses, receipts)
- · Maintain accurate financial records (manual & system)
- · File invoices, receipts, and supporting documents properly
2. Cash Handling Support
- · Assist in receiving and recording cash payments
- · Issue receipts where required
- · Support daily cash reconciliation
3. Stock Recording (Milk & Products)
- · Assist in recording:
- · Milk received
- · Milk issued/sold
- · Support stock reconciliation process
- · Report any inconsistencies
4. Invoice & Payment Processing
- · Prepare invoices for customers
- · Verify supplier invoices before payment
· Assist in processing payments
5. Bank & Expense Support
- · Assist in bank deposits and documentation
- · Record expenses and petty cash transactions
- · Support bank reconciliation
6. Reporting Support
- · Assist in preparing:
- · Daily sales reports
- · Cash reports
- · Stock reports
- · Ensure reports are accurate and submitted on time
7. System Support
- · Enter data into accounting systems such as:
- · QuickBooks
- · Sage Accounting
- · Update records regularly
8. General Office Support
- · Support audits by organizing documents
- · Assist the accountant with administrative tasks
- · Coordinate with depot staff and supervisors
