About the Role

We are seeking an experienced, highly organised, and people-focused HR & Administrator to lead the Parish's human resources and administrative functions.

The successful candidate will provide strategic and day-to-day HR and administrative support to the Parish Pastor and leadership team, while ensuring the effective management of staff, volunteers, office operations, communications, records, compliance, suppliers, and Parish facilities.

The successful candidate will play an important role in creating an efficient, well-organised, professional, and supportive working environment that enables the Parish to deliver its ministry effectively.

Key Responsibilities

Human Resources & People Management

● Lead and coordinate the Parish's day-to-day HR activities.

● Support recruitment, selection, appointment, onboarding, and induction of staff.

● Maintain accurate and confidential employee records.

● Manage staff leave, attendance, probation, performance reviews, and other employment records.

● Coordinate staff performance management and professional development.

● Support the Parish Pastor and supervisors in handling employee relations, grievances, disciplinary matters, and workplace concerns.

● Develop, implement, and review HR policies, procedures, and staff guidelines.

● Promote staff welfare, engagement, teamwork, accountability, and a positive workplace culture.

● Supervise administrative and support staff and ensure effective delegation and performance.

● Coordinate and support volunteers involved in Parish administration and operations.

Administration & Office Management

● Oversee the efficient day-to-day operation of the Parish office.

● Manage the Parish diary, appointments, meetings, correspondence, and administrative schedules.

● Develop and improve administrative systems, processes, and procedures.

● Manage office supplies, equipment, petty cash records, and administrative resources.

● Coordinate procurement and liaise with suppliers and contractors.

● Maintain effective filing, document control, records management, and archiving systems.

● Provide administrative support to the Parish Pastor, ministry leaders, committees, and staff.

Communication & Stakeholder Management

● Serve as a key point of contact for staff, members, visitors, suppliers, contractors, and external stakeholders.

● Manage Parish correspondence, telephone calls, emails, and general enquiries.

● Ensure enquiries are handled professionally and followed up appropriately.

● Support the preparation and distribution of Parish bulletins, newsletters, reports, notices, and other communications.

● Assist with maintaining the Parish website and other approved communication platforms.

● Coordinate administrative communications for weddings, baptisms, funerals, dedications, and other Parish activities.

Compliance & Governance

● Maintain accurate and up-to-date statutory, employment, Parish, and organisational records.

● Coordinate statutory submissions, registers, certificates, applications, inspections, and other compliance requirements.

● Support the development and implementation of Parish policies and procedures.

● Monitor compliance with applicable employment, health and safety, insurance, data protection, and other relevant requirements.

● Liaise with government agencies, professional advisers, insurers, and other external bodies as required.

● Provide administrative support to Parish committees and leadership meetings.

Facilities & Operational Management

● Coordinate the effective administration and use of Parish premises and facilities.

● Oversee cleaning, maintenance, security, and general upkeep of the premises.

● Liaise with the Buildings Committee regarding maintenance, repairs, health and safety, and development requirements.

● Coordinate contractors, maintenance providers, inspections, insurance matters, and service agreements.

● Maintain appropriate records relating to keys, contractors, equipment, maintenance, and facilities.

Person Specification

Essential Qualifications & Experience

● Bachelor's degree or equivalent qualification in Human Resources, Business Administration, Management, Public Administration, or a related field.

● Minimum 5-10 years' relevant professional experience, with significant experience in HR and administration.

● Demonstrable experience managing people and administrative functions.

● Previous supervisory or management experience is essential.

● Strong knowledge of HR administration, employee relations, performance management, recruitment, and staff development.

● Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook/email, and other relevant digital tools.

● Excellent written and verbal communication skills.

● Strong organisational, planning, problem-solving, and time-management abilities.

● Ability to manage confidential and sensitive information with discretion.

● Ability to manage multiple priorities and work effectively under pressure.

Desirable

● Professional HR qualification or membership of a recognised HR professional body.

● Experience in a church, faith-based organisation, charity, NGO, or not-for-profit organisation.

● Knowledge of relevant employment legislation and HR best practice.

● Experience in facilities, procurement, contract, or property administration.

● Experience managing volunteers and working with committees.
