The Depot Manager is responsible for leading and managing all aspects of depot operations, ensuring efficient and effective handling, storage, and distribution of products. This role involves overseeing the supply chain processes, optimizing operational performance, and meeting customer demand in a timely and cost-effective manner. The incumbent will play a crucial role in managing the logistics and supply chain processes within the depot, ensuring that everything runs smoothly and efficiently.

DUTIES AND RESPONSIBILITIES

Operations Management

  • Ensure smooth operations of depot activities, including stock management, warehousing, order fulfillment, and dispatch.
  • Implement and maintain operational processes, standard operating procedures, and safety protocols.
  • Optimize warehouse layout, storage, and material handling to maximize space utilization and improve efficiency


Supply Chain Management

  • Oversee the full supply chain cycle, from procurement to delivery, ensuring alignment with corporate objectives.
  • Manage vendor relationships and negotiate contracts to achieve favorable terms for the organization.
  • Monitor stock levels and coordinate with procurement teams to maintain optimal inventory levels while reducing holding costs.


Staff Management & Development

  • Lead, train, and mentor the depot staff, promoting teamwork and ensuring adherence to safety and operational standards.
  • Conduct performance appraisals, identify training needs, and develop staff competencies to enhance productivity.
  • Maintain a positive working environment and address personnel issues promptly.


Quality Assurance & Compliance

  • Ensure compliance with health, safety, and environmental regulations and company policies.
  • Oversee quality checks on incoming and outgoing goods to maintain product quality standards.
  • Implement corrective actions and continuous improvement measures for process optimization.


Financial Management & Reporting

  • Prepare and manage the depot budget, controlling costs and analyzing variances.
  • Generate operational reports for management, highlighting key performance metrics and areas for improvement.
  • Monitor and analyze financial data to optimize operational efficiency and cost- effectiveness.


Customer Relationship Management

  • Ensure timely and accurate order fulfillment to meet customer satisfaction and service level agreements.
  • Address customer issues and implement feedback to improve service delivery.
  • Maintain strong relationships with key customers, stakeholders, and suppliers.


Fleet Management

  • Managing the logistics of the fleet, including GPS tracking, administration, and servicing
  • Planning, directing, and managing the acquisition, assignment, maintenance, repair, replacement, and disposal of fleet vehicles. Ensure vehicles are safe to drive
  • Managing drivers, including hiring, training, mentoring, coaching, rewarding, disciplining, and terminating. They also ensure drivers follow company rules and regulations
  • Perform any other duty as assigned by management from time to time


KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Bachelor of business administration, supply chain management or any related field
  • 3–5+ years’ experience in supply chain, logistics, depot operations, or inventory management
  • CIPS (Chartered Institute of Procurement & Supply) – Level 4–6
  • Training in Warehouse Management, Inventory Control, or Fleet/Transport Management
  • Certificate in ERP systems, SAP, Oracle, or Stock Management Software
