Job summary

We are seeking an experienced and highly organized Imports & Exports Coordinator with a strong background in the FMCG industry. The ideal candidate will be responsible for coordinating and monitoring import and export activities, ensuring shipments are processed efficiently, documentation is accurate and goods move smoothly.

Requirements & Qualifications

  • Minimum 10 years of relevant experience in imports and exports.
  • Must have FMCG industry experience.
  • Must be 35 years and above.
  • Strong knowledge of import and export procedures and documentation.
  • Good knowledge of ADF forms and their processing.
  • Knowledge and experience in cargo/marine insurance.
  • Proven experience dealing with customs authorities and freight forwarders.
  • Strong shipment tracking and logistics coordination skills.
  • Excellent reporting and record-keeping abilities.
  • Strong communication, negotiation, and problem-solving skills.
  • Ability to work independently and coordinate multiple shipments simultaneously.
  • Good knowledge of regulatory and compliance requirements relating to imports and exports.Key Responsibilities
    • Coordinate and oversee all import and export operations from documentation to final delivery.
    • Handle and respond to import and export inquiries from suppliers, customers, freight forwarders, and other stakeholders.
    • Track and monitor shipments to ensure timely delivery and resolve any delays or logistical challenges.
    • Coordinate with customs authorities and freight forwarders to facilitate smooth clearance of goods.
    • Ensure all import and export documentation is accurate, complete, and submitted on time.
    • Prepare, process, and maintain ADF forms and other relevant import/export documentation.
    • Coordinate marine/cargo insurance for imported and exported goods.
    • Monitor customs clearance processes and ensure compliance with applicable regulations.
    • Maintain accurate records of shipments, customs documentation, insurance, and related transactions.
    • Prepare regular imports and exports reports and provide updates to management.
    • Liaise with suppliers, shipping lines, clearing agents, freight forwarders, and other service providers.
    • Identify and resolve shipment, customs, documentation, and delivery issues promptly.
  • Proficiency in Microsoft Office, particularly Excel and reporting tools.
  • Monitor import/export costs and assist management with relevant logistics information.
  • Ensure compliance with company policies and applicable import/export procedures. 
  • The ideal candidate should be a mature, highly experienced, detail-oriented, and dependable professional with extensive FMCG imports and exports experience. They should have strong relationships and working knowledge of customs, freight forwarding, insurance, and shipment processes, and be capable of providing accurate and timely reports to management.
