Office based in Kisian, Kenya. The position reports to the HJFMRI Site Lead.
RESPONSIBILITIES:
1. Serve as the primary interface between the research and administrative teams and the Transport Office; Advice on logistics management, structures and staffing levels to ensure efficiency and to meet the requirements of the organization.
2. Ensure that accurate and complete vehicle data and all relevant records are maintained.
3. Collaborate with the researchers and other teams to formulate and implement policies, procedures, goals and objectives for the Transport Office.
4. Conduct personnel actions including hiring, training, supervising and conducting annual appraisals of the
Transport Office staff.
5. Analyze vehicle maintenance and running costs and advice management on appropriate actions.
6. Ensure compliance of all transport legislation including verification of current insurance certificates for vehicles and valid driver’s licenses.
7. Ensure that project vehicles and motor bikes are taken for inspection when due and are issued with inspection certificates.
8. Ensure routine inspections and scheduled services on vehicles such as the cooling system, electrical system, tire pressure (including spare wheel) and brake systems are conducted regularly.
9. Report any incident/accident that involves injury to any passenger or pedestrian, and damage to the vehicle or third- party property immediately, in line with organization procedures.
10. Identify any relevant training for drivers and place the request to management for funding.
11. Develop best practices and tools for motor pool management.
12. Ensure compliance with donor, Foundation and governmental requirements.
13. Ensure management of fuel and repair parts is according to standard operating procedures and properly accounted from in the financial systems.
14. Oversee the sub-contracts such as the vehicle/motor bikes tracking service, local vendor repair facilities, etc.
15. Perform other duties as assigned by the HJFMRI Site Lead or Country Director.
QUALIFICATIONS:
1. Diploma in Transport Management or related field
2. Minimum 5 years of management experience
3. Computer literacy with proficiency in Microsoft applications
4. No criminal record

2. Strong financial background and attention to detail
3. Proactive with a well developed capacity for follow through
4. Ability to work in a multi-cultural environment under minimal supervision.
