KEY RESPONSIBILITIES
Cleaning and Maintenance:
· Perform general cleaning tasks such as sweeping, mopping and dusting office furniture.
· Clean and sanitize office kitchens and common areas, ensuring a hygienic environment.
· Empty trash bins and dispose of waste in a timely manner (daily), ensuring the office is free of clutter.
· Clean windows, glass surfaces, and mirrors regularly.
Office Setup and Organization:
· Set up and arrange office furniture for meetings, events, or daily work activities.
· Ensure that workstations, meeting rooms and common spaces are well-organized and presentable during meetings.
· Assist in maintaining inventory of office supplies (e.g., cleaning products, paper towels, toilet paper, etc.).
· Manage the reception and front office area to ensure it remains organized and welcoming for visitors, clients and staff.
· Receive, sort and distribute incoming mail, courier packages and deliveries promptly to relevant departments or individuals.
· Prepare outgoing mail, packages and courier documents as required.
· Coordinate the procurement and replenishment of office supplies, kitchen supplies and consumables.
· Support the implementation of office procedures and administrative systems to improve operational efficiency.
Minor Repairs and Maintenance:
· Conduct routine checks for any damage or malfunction of office equipment, furniture, and infrastructure and report it to the HR & Admin office.
· Report larger maintenance issues to the appropriate personnel for repair or replacement.
Event Support:
· Assist with setting up for office events, conferences, or meetings by arranging furniture and preparing spaces as required.
· Clean and tidy the space after events to restore the office to its regular condition.
Waste Management and Recycling:
· Properly separate waste and recyclables, ensuring they are disposed of according to company guidelines and local regulations.
· Maintain cleanliness around trash and recycling bins and ensure bins are emptied regularly.
Health and Safety:
· Monitor the office environment for any health or safety hazards and promptly report concerns to your immediate supervisor.
· Ensure that fire exits, emergency supplies, and first-aid kits are easily accessible and well-maintained.
· Implement safety measures to ensure the cleanliness of high-traffic areas, minimizing slip-and-fall risks.
Security Support:
· Assist in the locking/unlocking of office doors and windows as needed.
· Ensure that office areas are secure after working hours, including turning off lights, water taps, and equipment.
Other Tasks:
· Assist with seasonal tasks like decorating for holidays or seasonal deep-cleaning projects.
· Coordinate with suppliers or vendors for cleaning products, repairs or additional office supplies.
· Perform other administrative or logistical tasks as requested by the admin office.
Required Qualifications:
Prior experience in an office assistant set-up, administrative support or custodial work.
Skills:
· Basic proficiency in MS Suite.
· Ability to operate basic cleaning equipment (e.g., vacuum cleaners, floor scrubbers).
· Good organizational skills and attention to detail.
· Familiarity with office equipment such as printers, scanners and photocopiers.
· High level of punctuality, reliability and accountability.
· Attention to detail and commitment to maintaining a professional office environment.
Preferred Qualifications:
· Basic knowledge of office systems.
· Certification in occupational health and safety is a plus.
