We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the daily operations of our Nairobi office. The successful candidate will ensure smooth administrative functions, manage office resources effectively, and provide exceptional support to our team and leadership.

Location: Nairobi, Kenya

Key Responsibilities
Oversee all office administrative operations including facilities management, supplies procurement, and vendor coordination
Manage office budgets, track expenses, and process payments and reimbursements
Maintain and improve office systems, policies, and procedures to enhance operational efficiency
Coordinate with service providers including utilities, security, cleaners, and maintenance contractors
Manage procurement processes and maintain inventory of office supplies and consumables
Handle statutory compliance requirements and ensure all office documentation is up to date
Supervise reception and administrative support staff
Coordinate meetings, travel arrangements, and logistics for staff and visitors
Serve as the primary point of contact for office-related inquiries and issues
Ensure health and safety protocols are followed and conduct regular safety drills
Support HR functions including onboarding, maintaining staff records, and coordinating employee engagement activities

Qualifications and Requirements
Bachelor's degree in Business Administration, Management, or related field
Minimum 3-5 years of proven experience in office management or administration, preferably in a fast-paced environment
Strong knowledge of office management systems and procedures
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and
Google Workspace
Excellent organizational and time management skills with ability to multitask effectively
Strong financial management skills including budgeting and expense tracking
Outstanding communication and interpersonal skills
Familiarity with Kenyan labor laws, statutory requirements (NSSF, NHIF, PAYE), and regulatory compliance
Problem-solving mindset with strong attention to detail
Ability to work independently and take initiative

Desirable Skills
Experience with project management software (JIRA, Trello, Asana, or similar)
Knowledge of procurement procedures and vendor management
Previous experience in office setup or relocation
Experience working with international organizations or multinational companies

Competitive salary package: KSh 80,000 - 150,000 per month (depending on experience and qualifications)
