Operations & Procurement Officer
Job summary
The role ensures optimal stock availability, cost control, regulatory compliance, team productivity, and commercial performance across branches. This is a commercially driven position requiring leadership ability, operational discipline, and strong revenue ownership.
Job descriptions & requirements
- Develop and implement centralized procurement strategies for all branches.
- Negotiate pricing, payment terms, and rebates with pharmaceutical suppliers.
- Work with the Procurement Officer to ensure timely replenishment of prescription drugs, OTC products, and fast-moving items.
- Monitor market pricing trends and competitor pricing.
- Drive procurement cost savings while maintaining product quality and compliance.
- Ensure compliance with Pharmacy and Poisons Board (PPB) regulations.
- Maintain approved supplier database and conduct supplier performance reviews.
- Maintain optimal stock levels across all branches (minimum/maximum thresholds).
- Monitor fast-moving, slow-moving, and near-expiry products.
- Coordinate inter-branch stock transfers to minimize expiries and dead stock.
- Implement FEFO/FIFO principles strictly.
- Conduct periodic stock audits and reconcile variances.
- Reduce stock losses, shrinkage, and expiries.
- Supervise daily operational performance across all branches.
- Ensure adherence to SOPs, compliance standards, and operational discipline.
- Monitor branch opening/closing procedures, stock handling, and documentation.
- Coordinate logistics and stock movement between locations.
- Identify operational inefficiencies and implement corrective measures.
- Directly supervise branch supervisors / pharmtechs / beauticians (as applicable).
- Monitor productivity, attendance, and accountability.
- Conduct performance reviews and provide coaching.
- Identify training needs and recommend staff development initiatives.
- Drive a culture of discipline, urgency, and customer service excellence.
- Address performance gaps and escalate disciplinary issues where necessary.
- Drive revenue growth across all branches through strategic stock selection and pricing.
- Identify high-margin products and ensure consistent availability.
- Analyze daily and weekly sales performance per branch.
- Monitor basket value, product mix, and upselling effectiveness.
- Work with sales team to implement sales improvement strategies.
- Recommend promotional activities and product bundling initiatives.
- Monitor gross margin performance and recommend pricing adjustments where necessary.
- Benchmark performance across branches and drive healthy competition.
- Prepare weekly and monthly reports
- Present commercial insights and recommendations to management.
- Use data to guide procurement and operational decisions
