Job summary

We are seeking a personal assistant to provide high-level administrative and organizational support to senior management, ensuring efficient day-to-day operations and smooth coordination of business activities within a cosmetics trading environment

Min Qualification: Diploma Experience Level: Mid level Experience Length: 3 years Language Requirement: Chinese, English Working Hours: Full Time - 9 to 5 Applicant Location: Nairobi, Kenya

Job descriptions & requirements

Ø Diploma or Degree in Business Administration, Secretarial Studies, or related field

 Ø  Language requirements: Must know Chinese, English, both speaking and writing.

 Ø  2–4 years’ experience as a Personal Assistant or Executive Assistant

 Ø  Experience in a trading, retail, or cosmetics environment is an added advantage

Ø  Proficiency in Microsoft Office (Word, Excel, PowerPoint)

Ø Ability to work independently and as part of a team         

Ø   Assist in tracking sales reports and performance updates

Ø  Follow up on orders, deliveries, and client communications

Ø  Support coordination between the sales and warehouse teams

Ø  Manage the executive’s calendar, appointments, and meetings

Ø  Prepare meeting agendas, take minutes, and follow up on action points

Ø  Screen calls, emails, and correspondence on behalf of the executive

Ø  Act as a liaison between the executive and internal/external stakeholders

Ø  Coordinate with departments such as sales, marketing, and logistics

Ø  Handle confidential information with discretion

Ø  Prepare reports, presentations, and business documents

Ø  Organize and maintain filing systems (physical and digital)

Ø  Manage office supplies and general administrative tasks.

Ø  Monitor deadlines and ensure timely completion of assigned tasks
