JOB SUMMARY
Browns Plantations Kenya Limited (formerly James Finlay Kenya Limited) is part of the Browns Plantations Group. Browns is a highly successful diversified conglomerate and part of the LOLC Holdings PLC group of companies, which is one of the largest and most profitable listed corporations in Sri Lanka. It is headquartered in Sri Lanka and has a proud heritage in operating plantation businesses in Sri Lanka, Sierra Leone, and Kenya. Browns Plantations Kenya Limited is based in Kericho and Bomet counties. It has over 5000 Hectares of Tea and over 2000 Hectares of forestry. We invite applications for the post of Personal Assistant to the Directors, which has arisen in our Central Services Division. THE JOB
Reporting to the Director / Chief Executive Officer and the Human Resource Director, the job holder is responsible for providing efficient and effective Personal Assistant services to the Directors. This includes offering guidance to staff and visitors to the head offices, coordination and supervision of the company's guesthouses, management staff clubs, and support staff at the Head Office. The Job will be based in Kericho. MINIMUM REQUIREMENTSDiploma in Business Administration, Secretarial Studies, Human Resource Management, or any business-related course.5 years’ experience in a similar role.Computer literacy with knowledge of ERP and MS Office is essential.Good knowledge of HIT/ Sage 300 will be an added advantageExcellent communication, organizational, and interpersonal skills Good organising and planning skillsAbility to work independently, prioritize tasks, and meet deadlines.Proven strong supervisory, administrative, and problem-solving skills.
RESPONSIBILITIES
Coordinate all correspondence to/from the Director/ Chief Executive Officer and the Human Resource Director’s offices.Manage the Executive’s calendar, schedule meetings, and coordinate appointments.Maintain and update management staff personnel records and registers. Ensure an effective filling system in the department i.e both hard & soft.Prepare monthly and quarterly reports, including confidential reports for management staff and labour-related statistics for Human Resource metrics reports.Have the Human Resource Department and Head Office be audit-ready by ensuring audit requirements are complied with.Handle confidential information with the highest level of professionalism.Provide support for employee recruitment processes.Coordinate Human Resource Department monthly meetings.Coordinate and supervise the Company's guest house operations, e.g., guest house reservations, hotel bookings for the company’s visitors, etc. Supervise guesthouse procurement activities in liaison with the Guest House Supervisor. Oversee and enforce all the operations within the clubs to ensure quality, consistent, and efficient services to customer satisfaction. Responsible for printing letterheads, complementary slips, and business cards for the company. Coordinate travel arrangements, itineraries, and logistics in liaison with the Director/Chief Executive Officer.In liaison with other Personal Assistants, organise company events, i.e., merit awards, sports days, etc.Supervise company club operations, such as swimming pools and gym operations, and ensure safety standards are adhered to APPLICATION PROCEDUREIf you meet the requirements of these positions, please apply, including a detailed CV, your postal, e-mail, and telephone contacts, and the names and addresses of three referees, one of whom must be your current supervisor.
