Our client is an environment consulting firm that has efficiently established critical measures to provide excellent environmental services to its clients.


Role Summary

The Senior Tenders Officer will be responsible for managing the tendering process for the Environmental Consultancy Company.

They will be responsible for researching, identifying and responding to tender opportunities, developing tender documentation and managing the tender submission process.


Primary Responsibilities

This position has the overall responsibilities of:
•  Responsible for all elements of the tender processes;
•  Effectively liaise with all internal and external stakeholders to collate required information and translate them into a cohesive response to bids/proposals;
•  To develop and manage an internal network of subject matter experts and bring them into the development and writing process as required;
•  Attend internal proposal briefings, and liaise with technical operations team to develop compelling Method Statements for proposals/tenders;
•  Ensure the tenders and proposals are informed by the company policies, guidance, and business objectives;
•  Build a library of internal and external experts (consultants), CVs, certificates, testimonials/Experiences, method statements, case studies, proposal templates; Equipment Certificates
•  Build a library of all the company’s mandatory documents and to keep them updated (CVs, Licenses, Certificate, Permits, Insurance, and so on)
•  To ensure all Tenders/Proposals Database is backed up


Specific Responsibilities

•  Lead bid responses, including bid structure, content and responses, ensuring tenders are submitted on time and achieve the highest scores;
•  Researching and identifying tender opportunities from various sources.
•  Analyzing tender documents to determine requirements and deliverables.
•  Preparing and managing tender submissions in accordance with company policies and procedures.
•  Developing tender documentation including proposals, bid documents, and other required documents.
•  Coordinating and liaising with internal teams to ensure timely and accurate submission of tender documents.
•  Maintaining and updating the company's tender database and records.
•  Ensuring compliance with tendering regulations and requirements.
•  Communicating with external stakeholders, such as clients and suppliers, regarding tender submissions.
•  Conducting post-tender reviews to identify areas for improvement.
•  Ensuring that bid proposals are in conformity with the specifications;
•  Liaising with stakeholders towards ensuring that required documentation is available within allotted tendering time frame;
•  Production of tender documents and reviewing for completion and accuracy;
•  Other related tasks that may be delegated and within scope of the business interest.
•  To be familiar with all the services the Company is offering;
•  Key person to ask and receive clarifications from clients such as scope of works among others;
•  To assist the company to produce costing files for proposals, getting quotation from external experts & labs;
•  Obtaining job completion certificates and recommendation letters for completed works/projects/contracts.


Qualifications

•  Minimum Degree in Economics, Business Management, Engineering, Environmental
•  Management, Project Management or equivalent
•  Minimum of 5 years experience as Tenders Officer or similar position
•  Experience of successfully writing technical tenders & commercial that have resulted in significant wins;
•  Proven track record in planning development and preparation of compliant and successful proposals/bids;
•  Knowledge and well versed with both public and B to B Procurement Procedures


Must-Have Skills and Qualities

•  Must Have Management + Leadership Skills to Lead the Tenders Department
•  Articulate and detail-oriented;
•  Excellent English verbal and writing skills, with significant experience of writing and developing competitive bids and proposals;
•  Strong interpersonal and relationship-building skills and demonstrable experience of building relationships with various technical experts/stakeholders;
•  Good Computer Skills with proficiency in Word and Excel;
•  Able to work independently with regular communication to the business management;
•  Able to meet set timelines and deadlines;
•  Team player- pulling of information from diverse sources and background’
•  To be proficient with document editing software (including pdf + electronic signatures)

•  Timely Submission of tenders/proposals/quotes
•  Technical Scores in tenders
•  Won tenders
