Job summary
The Transport Manager will be responsible for leading the transformation and daily operations of a fully-fledged Transport Department. The role encompasses strategic leadership, compliance management, and full accountability over the company’s in-house and outsourced logistics functions. Key deliverables include minimizing operational risks (fuel theft, route deviations, driver collusion), aligning interdepartmental delivery schedules, ensuring regulatory compliance, and implementing technology-driven systems that enhance efficiency, visibility, and cost control.

DUTIES AND RESPONSIBILITIES
Fleet Reliability & Preventive Maintenance
- Ensure 100% pre-departure inspections with signed-off checklists to guarantee roadworthiness of all vehicles.
- Implement and enforce a preventive maintenance schedule to reduce breakdown frequency and extend asset life.
- Monitor garage and mechanic performance with turnaround benchmarks for repairs and report on adherence.
- Expected Outcome: Minimized breakdowns, reduced repair costs, and improved vehicle availability.
Dispatch & Truck Availability
- Work closely with the Watch Tower to guarantee real-time daily truck availability.
- Enforce early morning departures for all scheduled trucks.
- Ensure trucks spend ≤1 hr 30 mins at the dock through better coordination with the
Dispatch team.
- Track and continuously improve truck turnaround time per trip.
- Expected Outcome: Faster turnaround, increased daily dispatch capacity, and higher delivery reliability.
Vehicle Utilization & Cost Control
- Maintain 85%+ utilization of internal fleet at all times.
- Accurately verify and control fuel usage, mileage, and petty cash requests.
- Implement cost-cutting initiatives by optimizing routes, enforcing fuel efficiency, and managing spare parts inventory.
- Expected Outcome: Lower cost per delivery/km, higher fleet efficiency, and improved financial control.
3PL & Vehicle Sourcing
- Source, contract, and manage 3PL providers, ensuring they meet company standards, permits, and compliance.
- Allocate 3PL trucks in line with production schedules and customer demand, ensuring performance tracking.
- Develop strong working relationships with 3PLs to guarantee consistent capacity and service quality.
- Expected Outcome: Reliable 3PL support, optimized cost of outsourcing, and improved flexibility during peak demand.
Driver & Yard Management
- Act as overall yard marshal, ensuring order, discipline, and adherence to SOPs.
- Set and monitor driver KPIs: turnaround time, safe driving, fuel efficiency, and delivery punctuality.
- Partner with HR on recruitment, training, and driver incentive models to boost retention and accountability.
- Expected Outcome: A motivated, disciplined, and efficient driver workforce that meets performance standards.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Strong leadership, planning, and analytical capabilities
- In-depth knowledge of Kenyan transport regulations and logistics operations.
- High integrity and problem-solving mindset in high-pressure environments.
- ERP proficiency (SAP, Odoo), GPS tracking systems, and reporting tools.
- Excellent communication, negotiation, and coordination skills.
