Job Summary
The Administrator is responsible for providing effective administrative and operational support at the branch, ensuring that daily administrative activities, records, documentation, staff coordination, and office procedures are handled efficiently. The role requires strong organizational skills, attention to detail, professionalism, and effective communication with staff, customers, suppliers, and management.
Key Responsibilities
• Coordinate and support the day-to-day administrative activities of the branch in line with company procedures.
• Maintain accurate and up-to-date administrative records, files, correspondence, reports, and documentation.
• Support staff attendance management, leave records, schedules, and other routine employee administration.
• Prepare, organize, and file branch documents, forms, invoices, delivery records, and other relevant paperwork.
• Assist the Branch Manager with preparation of reports, minutes, schedules, notices, and routine administrative correspondence.
• Coordinate communication between the branch, head office, staff, suppliers, and other relevant stakeholders.
• Support the maintenance of accurate records relating to stock documentation, deliveries, expenses, and other branch activities as assigned.
• Handle customer and staff enquiries professionally and direct matters requiring further attention to the appropriate person.
• Ensure that administrative procedures, company policies, and standards are consistently followed within the branch.
• Assist in coordinating meetings, staff activities, inspections, and other branch activities as required.
• Maintain confidentiality and proper custody of company information, documents, records, and administrative materials.
Qualifications & Experience
• Diploma in Business Administration or a related field.
• At least 1 year of relevant experience in administration or a similar administrative role.
• Proficiency in Microsoft Office applications, particularly Word and Excel, is required.
• Good knowledge of office administration, record keeping, filing systems, and routine reporting.
• Previous experience working in a fast-paced business environment will be an added advantage.
