Job Summary

The Human Resource Officer is responsible for overseeing and managing the full HR function across all Medprime Training College campuses. This includes recruitment, performance management, staff development, welfare, culture-building, compliance, and HR operations. The HR Officer ensures that Medprime maintains a motivated, productive, compliant, and values-driven workforce aligned with institutional goals.

2. KEY ROLES & RESPONSIBILITIES

A. RECRUITMENT & STAFFING

• Coordinate recruitment of trainers, administrative staff, and support teams.

• Prepare job descriptions, advertise vacancies, shortlist candidates, and schedule interviews.

• Conduct reference checks and oversee onboarding and induction programs.

• Keep an up-to-date employee list that shows all jobs in the organization and who occupies them.

• Maintain updated staff profiles and records on Intellimis, from onboarding to offboarding.


B. PERFORMANCE MANAGEMENT

• Develop and implement performance appraisal systems for all departments.

• Track staff KPIs, review performance reports, and provide structured feedback weekly.

• Collaborate with departmental heads to identify and address performance gaps.

• Support and guide disciplinary processes in line with HR policies and legal requirements.


C. TRAINING, DEVELOPMENT & CULTURE

• Identify training needs across departments and coordinate staff development programs.

• Organize TOT (Training of Trainers) sessions and monthly training sessions for all staff to enhance teaching and operational quality.

• Ensure Monday morning prayer sessions are conducted and monthly staff meetings take place consistently.

• Develop weekly training themes (e.g., Problem-Solving Week, Innovation Week).

• Coordinate Motivation Wednesday activities across all campuses to promote a positive culture.

• Facilitate team-building activities and staff motivation initiatives.


D. EMPLOYEE WELFARE & RELATIONS

• Address staff concerns, grievances, and welfare issues professionally.

• Maintain strong communication lines between management and staff.

• Oversee staff attendance, leave management, and productivity tracking.

• Support conflict resolution and promote a respectful, collaborative work environment.

• Ensure staff comply with online meeting etiquette, including cameras on, active participation, punctuality, and constructive feedback.


E. HR POLICY, COMPLIANCE & RECORDS

• Develop, implement, and update HR policies and procedures.

• Ensure compliance with Kenyan labour laws, TVET regulations, and internal institutional policies.

• Maintain accurate HR records, contracts, and documentation.

• Ensure all staff details are updated and maintained on Intellimis at all times.

• Ensure proper documentation and confidentiality in all HR processes.

• Prepare HR reports for management and support audit processes.


F. OPERATIONAL SUPPORT

• Coordinate with the College Administrator on staffing requirements and resource allocation.

• Support the Principal in academic staffing needs, timetable planning, and trainer assignment.

• Ensure trainers meet their operational responsibilities, including:

o Following up on fee payments and escalations.

o Accurate daily attendance logging with reasons for absences.

o Resolving student concerns at trainer level before involving administration.

o Achieving 100% transition rate into assessments and progression.

• Participate in leadership meetings, academic boards, and disciplinary committees.

• Contribute to strategic planning, workforce planning, policy formulation, and change management initiatives.

• Collaborate with the Marketing Team to support student recruitment, branding, and communication activities.
