REPORTING TO:  Operations Manager
LOCATION:  Nairobi, Kenya

The Purpose of the Job
The Mailing and Fulfilment Officer is responsible for coordinating the secure packaging, sorting, reconciliation, and dispatch of banking cards and customer materials. The purpose of this role is to ensure delivery accuracy, inventory integrity, and strict compliance with established operational procedures while maintaining the highest standards of confidentiality and security.

Tasks, Duties & Responsibilities
  • Prepare customer orders for dispatch in accordance with production schedules.
  • Verify mailing information and dispatch documentation to ensure accuracy before shipping.
  • Sort and package customer materials accurately, ensuring proper protection during transit.
  • Track fulfilment activities and maintain complete, accurate records of all dispatched items.
  • Reconcile dispatch quantities against production outputs to identify and resolve discrepancies.
  • Ensure the secure handling, storage, and movement of customer materials at all times.
  • Report discrepancies and fulfilment issues promptly to the supervisor.
  • Maintain inventory accuracy for packaging materials and supplies, initiating reorders as needed.
  • Support the timely delivery of customer orders to meet service level commitments.
  • Observe strict confidentiality and information security procedures when handling customer data.
  • Maintain organized, clean, and secure work areas in compliance with safety standards.
  • Participate in operational improvement initiatives to enhance efficiency and reduce waste.

Person Specification
Educational & Professional Qualifications
Education: School Certificate (KCSE or equivalent) minimum qualification is accepted. A Certificate in operations management is an added advantage.
Experience: 1 to 3 years of relevant experience in fulfilment, dispatch, warehousing, or logistics operations. Experience in a production or banking services environment is a distinct advantage.

Remuneration Package

Salary:
  • A competitive monthly gross salary. Dependent on qualifications, level of experience, and specific location. This range aligns with market rates for entry to mid-level fulfilment and logistics roles in Kenya.
Shift Allowance:
  • An additional shift allowance will be provided for officers working non- standard hours or rotating shifts where applicable.
