Job Description/Requirements
Administrative support
1. Provide confidential administrative support to the CEO, and Leadership team of the Company as required
2. Organise and maintain CEO's calendar of appointments, schedules and travel arrangements
3. Organise & coordinate meetings and events for the CEO
4. Handle and follow up on client and other stakeholder inquiries to ensure timely response and support
5. Liaise with Clients and other stakeholders on behalf of the CEO
6. Perform office management, operations, and duties in an entrepreneurial environment
7. Manage all CEO's memberships & subscriptions and their renewals / payments.
8. Manage and maintain reminders for upcoming deadlines & events for the CEO and leadership team of the Company
9. Manage the purchase and distribution of office and other supplies
10. Prepare the CEO's monthly expense summary - personal and business-related expenses.
11. Personal tasks as required
Clerical work
1. Screen CEO's emails, archive and professionally compose replies/correspondence on behalf of the CEO when required.
2. Write and edit letters, reports, meeting minutes, presentations, memos and other materials, and dispatch as required
Data Management
1. Organise and maintain both paper and extensive electronic filing system that is accurate and updated (Google drive & outlook).
2. Update and maintain company database to ensure the accuracy and confidentiality of client and other stakeholder information.
Communication
1. Field phone calls, liaise with and receive visitors on behalf of CEO and Leadership team of the Company as required
2. Draft promotional updates on behalf of CEO & company as required
3. Conduct preliminary research on updates or knowledge products on behalf of the CEO & company as required
Job Requirements
Education
A diploma or degree in administration, business management or related fields is required.
Experience
At least 2 years of relevant work experience - experience in administration or service companies is preferred.
Skills
Proficiency in office software (such as Microsoft Office suite).
Good organizational and time management skills.
Excellent communication and interpersonal skills.
Proficient in problem solving, innovative and efficient.
Language requirements
Fluent in English & Kiswahili
