This role requires a highly organised, detail-oriented, and assertive professional who can manage complex scheduling, communicate confidently, and make rapid decisions in a fast- moving environment. You will ensure that core services, including safety audits, fire risk assessments, and training sessions, are delivered on time, to the right locations, by the right professionals.

5. Role Overview
The Service Coordinator ensures the efficient, accurate, and timely delivery of field-based services across the UK. In this role, you will:
  •  Manage complex daily schedules
  •  Allocate the right specialists to the right tasks
  •  Maintain constant communication with clients and contractors
  •  Resolve operational challenges as they arise
  •  Uphold service delivery standards in a demanding environment

6. Key Responsibilities
A. Scheduling & Resource Allocation
  •  Coordinate and allocate audits, assessments, and training sessions across the UK.
  •  Match specialists based on skillset, geography, and client requirements.
  •  Adjust schedules when disruptions occur (e.g., delays, absences, emergencies).
  •  Maintain accurate and up-to-date schedules across digital systems.

B. Communication & Stakeholder Coordination
  •  Liaise professionally with UK clients, contractors, auditors, and internal teams.
  •  Communicate schedule changes and operational updates in a timely manner.
  •  Handle resistance and difficult conversations with confidence and clarity.
  •  Uphold service standards and ensure strong client satisfaction.

C. Operational Support
  •  Monitor utilisation, workloads, and performance metrics.
  •  Use Excel/Google Sheets to analyse data and improve efficiency.
  •  Work within SaaS platforms and internal CRM systems.
  •  Provide administrative and project coordination support.

7. Required Qualifications, Skills & Attributes
A. Essential Competencies

  •  Strong Excel/Google Sheets skills (VLOOKUP, pivot tables, formulas)

  •  Experience with HubSpot (CRM or service pipelines)
  •  Background in operations, dispatch, workforce planning, logistics, SaaS support, orcustomer success
  •  Experience coordinating contractors or field teams
