Job Summary

The main objective of this role is to ensure smooth and efficient operation of our procurement processes. You will be responsible for supporting the Procurement Manager in sourcing and purchasing to meet the Club’s operational needs while adhering to budgetary constraints and quality standards.

Job Description/Requirements

Key Responsibilities


Sourcing and Supplier Management:

•         Assist in sourcing suppliers for goods and services required by    various departments

•         Obtain quotations, negotiate prices and establish contracts with suppliers

•         Build and maintain relationships with suppliers, ensuring timely, delivery and quality

Purchase Order Processing:

•         Generate purchase orders accurately and in a timely manner

•         Ensure compliance with procurement policies and procedures

•         Track and manage purchase orders through delivery and receipt of goods or services

Documentation and Record Keeping:

•         Maintain comprehensive and accurate records of procurement transactions

•         Organize and file procurement-related documents, such as purchase orders, quotations, price lists, new supplier forms and approved capex and non-capex forms of contracts

•         Ensure documentation is readily accessible for auditing and reference purpose

Supplier Communication:

·         Serve as point of contact for supplier inquiries and communication

·         Address any issue or concern raised by supplier promptly and professionally

·         Facilitate communication between suppliers and internal stakeholders as needed

Compliance and Ethics:

·         Ensure compliance with procurement regulations, policies and ethical standards

·         Adherence to established procurement procedure activities, including approvals and documentation

·         Identify and report any potential compliance or ethical issues to procurement manager

Assistance to Procurement Manager:

·         Provide administrative assistance to procurement manager as required

·         Assist in preparing reports, presentations, and analysis related to procurement activities

·         Participate in procurement relate meetings and initiatives as directed by the procurement manager

Process Improvement:

·         Identify opportunities for process improvement within procurement functions

·         Implement best practices to streamline processes, enhance efficiency, and reduce costs

·   Continuously evaluate and refine procurement processes to optimize performance

Budget Monitoring:

·         Assist in monitoring procurement expenditures against budget allocations

·         Track spending trends and identify variances for review by management

·         Collaborate with finance and budgeting teams to ensure alignment with financial targets

Professional Development:

·         Stay informed about procurement best practices, trends, and developments

·         Seek opportunities for professional growth and development, such as training or certifications

·         Continuously enhance knowledge and skills relevant to procurement supply chain management

Academic and Professional Qualifications

·         Bachelor’s degree in a Business Administration, Procurement, Supply Chain Management, or related field

·         Microsoft Office Proficiency

·         Knowledge of Procurement and Contract Law

Relevant Experience

·         2-3 years working experience in Procurement and Supply chain

·         Competence in procurement planning

·         Competence in market price surveys
