Job Title: Receptionist (ICT-Skilled Front Office Executive)

Job Purpose: The Receptionist will serve as the first point of contact for the school, responsible for creating a professional and welcoming front-office experience while supporting administrative, communication, and ICT-based operational tasks.
The role ensures efficient front-office operations, effective communication flow, and proper management of digital and administrative systems
Key Responsibilities
1. Front Office & Customer Service
- Welcome and assist visitors, clients, and stakeholders in a professional manner.
- Manage the reception area to ensure it is presentable and organized at all times.
- Handle incoming calls, emails, and inquiries, directing them appropriately.
- Maintain visitor logs and ensure proper security protocols are followed.
- Provide accurate information about the school and courses to clients and visitors.
2. Administrative Support
- Schedule meetings, appointments, and maintain calendars for staff.
- Handle correspondence including letters, emails, and internal memos.
- Assist in filing, record keeping, and document management (physical and digital).
- Support office procurement processes such as stationery tracking and ordering.
- Coordinate deliveries, courier services, and office logistics.
3. ICT & Digital Systems Management
- Operate office ICT systems including email platforms, CRM tools, and scheduling software.
- Manage digital filing systems and ensure proper data organization and backup.
- Support basic troubleshooting of office equipment (printers, scanners, computers).
- Update company databases and maintain accurate electronic records.
- Assist in social media or basic digital communication tasks where required.
- Ensure efficient use of office productivity tools (MS Office / Google Workspace).
4. Communication & Coordination
- Act as a communication hub between departments and students.
- Relay messages promptly and accurately to relevant staff and students.
- Support internal coordination of meetings, events, and office activities.
Qualifications
- Diploma or Degree in Business Administration, Office Management, ICT, or a related field.
- Proven experience in a receptionist or front office role (preferably 1–2 years).
- Strong ICT proficiency (MS Office Suite, email systems, data entry tools).
- Excellent verbal and written communication skills.
- Professional appearance and strong customer service orientation.
