Within our team we have academic staff, sales, administration, and support teams.
We are seeking an experienced, hands-on HR manager who can build a strong people-management system, improve employee accountability, and ensure that HR policies and processes are consistently implemented across the organization

Reports to: CEO
Employees supported: Approximately 150 employees

ROLE PURPOSE
The HR Manager will be responsible for managing the full employee lifecycle at Smart Brains Kenya
and ensuring that the company has a disciplined, accountable, productive, and compliant workforce.
This is a hands-on management role.
We are looking for someone who does not simply process HR paperwork but actively identifies people
and performance problems, follows up on them, investigates issues, implements corrective action, and
ensures that agreed company procedures are actually followed.
The HR manager will work closely with the CEO and department heads to establish clear standards of
performance, attendance, conduct, and accountability across the organization.

KEY PERFORMANCE INDICATORS
The HR manager will be measured on measurable improvements in the company's people operations, including:
1. Reduction in unexplained absenteeism.
2. Reduction in recurring lateness.
3. Timely completion of disciplinary processes.
4. Timely resolution of employee grievances.
5. Accurate and up-to-date employee records.
6. Proper completion of employee onboarding and exits.
7. Improved compliance with company HR policies.
8. Improved employee performance-management processes.
9. Reduction in unresolved HR cases.
10. Timely reporting of HR issues to management.
11. Proper recovery and accountability for company assets during employee exits.
12. Improved employee retention where appropriate.
13. Recruitment of qualified employees within agreed timelines.
14. Compliance with applicable Kenyan employment requirements.
15. Implementation and consistent use of HR systems and processes.

REQUIRED QUALIFICATIONS
• Bachelor's degree in human resource management, business administration, industrial relations, or a related field.
• Professional HR qualifications such as CHRP-K or equivalent.
• At least 5-8 years of progressive HR experience, preferably including experience managing a workforce of 100+ employees.
• Demonstrated experience managing disciplinary and employee relations matters.
• Strong knowledge of Kenyan employment practices and applicable employment legislation.
• Experience managing attendance, performance management, and employee records.
• Experience working with managers and senior leadership.
• Strong written and verbal communication skills & strong organizational and documentation skills.
• Good knowledge of HR technology and digital systems.

Strongly preferred
Experience in one or more of the following:
• Education companies
• Multi-location organizations
• Field-based employees
• Technology companies
• Rapidly growing companies
• Organizations with 100+ employees
• Companies with large numbers of tutors, teachers, or field staff

IMPORTANT EXPECTATION OF THE ROLE
This is not a passive HR administration position.
Smart Brains Kenya requires an HR professional who will actively manage the company's people systems and employee accountability.
The successful candidate should be comfortable moving beyond paperwork and taking ownership of issues such as:
• Employees arriving late or failing to report to work.
• Employees failing to follow company procedures.
• Employees leaving without proper notice or handover.
• Employee misconduct.
• Performance problems.
• Missing or unreturned company assets.
• Workplace complaints and disputes.
• Poor communication between employees and management.
• Managers failing to follow HR procedures.
• Inconsistent application of company policies.
The HR manager is expected to identify issues, investigate them, document them, recommend appropriate action, and follow through until closure.

WHAT SUCCESS LOOKS LIKE
Within the first 3-6 months, the successful HR manager should have helped Smart Brains Kenya establish:
• A complete and accurate employee database.
• Clear HR policies and employee handbook.
• Reliable attendance monitoring.
• A structured disciplinary process.
• A consistent performance-management system.
• Proper onboarding and exit procedures.
• Clear employee asset accountability.
• Regular HR reporting to the CEO.
• Clear escalation procedures for employee problems.
• A functioning HR calendar and compliance system.
• Clear responsibilities for managers in managing their teams.
