- Conduct scheduled and unscheduled property inspections (residential and commercial units).
- Assess property condition including structural elements, utilities, safety compliance, cleanliness, and occupancy status.
- Verify tenant occupancy details and confirm adherence to lease terms.
- Identify maintenance issues, damages, or unauthorized alterations.
- Take clear photographic evidence and compile structured inspection reports.
- Conduct property handover and takeover inspections (check-in / check-out).
- Monitor renovation or repair works and provide progress updates.
- Collect accurate property data including measurements, occupancy status, rental rates, amenities, and compliance details.
- Maintain updated property records in internal systems.
- Prepare daily, weekly, and monthly field activity reports.
- Track and report market intelligence such as competing property rates and trends.
- Ensure all reports are submitted within required timelines and meet accuracy standards.
- Serve as the first point of contact during field visits.
- Address tenant inquiries and escalate complex issues to the Property Manager.
- Follow up on rent arrears through field visits where necessary.
- Deliver notices, letters, and official communication to tenants when required.
- Maintain professional relationships with landlords, tenants, and prospects.
- Support property viewings for prospective tenants or buyers.
- Generate and qualify leads through field interactions and networking.
- Assist with property listings by collecting accurate property information and images.
- Distribute marketing materials in target areas.
- Provide feedback from prospects to improve marketing strategies.
- Support promotional events, open houses, and activations.
- Ensure properties comply with local regulations and safety standards.
- Report potential legal, safety, or structural risks immediately.
- Monitor vacant properties to prevent vandalism or unauthorized occupation.
- Assist in documenting evidence for disputes or insurance claims.
- Maintain organized documentation for each property.
- Coordinate with maintenance teams and contractors for repair works.
- Track service requests and ensure timely resolution.
- Update CRM systems with client and property information.
- Degree or Diploma in Business, Real Estate, or a related field
- Minimum of 3 years’ experience in real estate property management or field operations
- Strong communication and reporting skills
- Good knowledge of property management processes
- Ability to work independently and meet deadlines
- Proficiency in MS Office and basic reporting tools
