Job Description/Requirements
- Conduct monthly inventory for spare parts and vehicles, validate reports with branch manager, and ensure stock adjustments are accurate and compliant with group guidelines.
- Run annual fixed asset inventory, reconcile with asset register, and prepare utilization and idle asset reports for management.
- Ensure assets are properly tagged, movements or disposals are approved, and the asset register is promptly updated.
- Prepare business plans and Capex approvals for investments, monitor implementation, and report performance against approved plans.
- Conduct an annual full asset inventory and reconcile against the asset register.
- Prepare bi-annual reports on asset utilization within the branch.
- Ensure all assets are tagged, properly described, and allocated to the correct cost centre.
- Enforce approval processes before purchase, transfer, or disposal of assets.
- Identify and report idle assets, proposing action plans for utilization, transfer, or disposal.
- Update the asset register following every asset movement.
- Develop and implement a perpetual asset verification mechanism across the network.
- Review the monthly performance of branch projects against approved business plans.
- Verify that all sublet invoices are correctly marked up on job cards before closure and payment.
- Ensure monthly Work-In-Progress (WIP) inventory is complete and accurate.
- Review monthly WIP reports and hold follow-up meetings with Branch Manager on outstanding issues.
- Review and approve consumable stock count adjustments, ensuring investigation of variances.
- Conduct weekly reviews of Aftersales credit notes and share variance reports with Branch and Finance Manager.
- Perform monthly reviews of Service costing to ensure adherence to labour, sublet, and pricing guidelines.
- Monitor weekly aftersales margin rates against budget and investigate deviations before month-end close.
- Review WIP Yard Reports before Branch Manager signs off to ensure data accuracy and proper follow-up on action plans.
- Review and approve job cancellations and service returns after verification.
- Review internal job postings to confirm validity, appropriate approvals (as per DOA), and justifiable costs.
- Approve and close verified job cards for internal accounts.
- Validate all branch cash payments in collaboration with the Branch Manager.
- Review weekly cash sales to ensure compliance with company guidelines.
- Coordinate preparation of branch budgets, ensuring timely submission and adherence to group timelines.
- Identify and advise on cost-saving opportunities and operational efficiencies.
- Conduct monthly reviews of branch financial performance (P& L, working capital, key KPIs).
- Analyse branch results and identify areas for improvement to ensure alignment with budget or forecast targets.
- Provide management insights and recommend corrective measures for underperforming areas.
- Review all expense and cost postings for accuracy, completeness, and proper allocation.
- Review marketing plans, document ROI for each event, and track post-event performance
PACI, Audit, and Fraud Control
- Supervise and enforce internal control compliance at branch level.
- Ensure timely implementation of Audit/PACI recommendations with quality
- and sustainability.
- Monitor segregation of duties within SAP/ERP systems, ensuring control effectiveness.
- Report fraud or compliance incidents promptly and support corrective actions.
- Foster a strong compliance and control culture across the branch network.
- Communicate policy changes and assess their impact on the control environment.
- Support stakeholders in implementing new global or local financial policies.
- Ensure implementation of internal audit/PACI recommendations, segregation of duties, and effectiveness of branch-level internal controls.
- Monitor compliance, report fraud risks, and advise teams on corrective measures.
- Promote a strong compliance culture, keeping branches updated on new policies and assessing their control impact.
- Support stakeholders in implementing and embedding both global and local policies into operations.
- Enhance collaboration between finance and operational departments, ensuring a unified understanding of business processes.
- Promote a culture of accountability, cost-consciousness, and fact-based decision-making.
- Provide financial and operational training to branch teams on SOPs, control improvements, and compliance standards.
- Maintain a tracker of audit, risk, and control recommendations and monitor progress of implementation.
- Degree in finance or a business-related field
- CPA (K) /ACCA
- Minimum level of experience required to perform effectively in the role
- 2 years minimum of experience in accounting.
