Job Description/Requirements

Administrative Assistant                 1 POSITION
Reports to: The Principal
Job Function: The key role of this position is to keep the Institute running smoothly by taking care of the administrative and organizational tasks.

Specifically the Administrative Assistant will be expected to:
•    Manage the Principal’s office
•    Maintain diary and arrange appointments
•    Maintain office records and filing
•    Ensure initial welcome with appropriate hospitality to visitors to the Institute in a professional and courteous manner.
•    Handle the telephone calls promptly, dealing with general enquiries with accuracy and professionalism
•    Distribution of information and literature as required
•    Maintain a sign-in system for the Institute
•    Convey messages to relevant people in a timely and efficient manner
•    Generate curriculum documents, class lists, timetables, letters for in-training,
•    Assist in providing stationery for staff
•    Maintain labels for staff pigeon holes
•    Receives and sort incoming and outgoing mail
•    Assist with the maintenance of various files

Requirements:
•    A Diploma in Administration  or its equivalent from an accredited and recognized College or University
•    Experience of at least 2 years is desirable
•    Methodical approach to work and attention to detail
•    Good organizational skills
•    Good interpersonal skills
•    Good verbal and written communications skills as well as customer care skills
•    A professional, tactful  and supportive team player
•    Ability to use standard software packages
