- Prepare and send invoices to clients and follow up on outstanding payments.
- Reconcile accounts to ensure that all payments are recorded accurately and promptly.
- Maintain a detailed log of all receivables and monitor overdue accounts.
- Receive, record, and safely manage cash, cheques, and electronic payments.
- Make regular bank deposits and reconcile bank statements with internal records.
- Ensure petty cash is properly maintained and replenished when necessary.
- Prepare periodic financial reports, including summaries of income, expenses, and cash flow.
- Maintain accurate financial records, supporting documents, and accounting files for auditing purposes.
- Assist in preparation of budgets and forecasts by providing relevant financial data.
- Ensure all financial transactions adhere to company policies and statutory regulations.
- Identify discrepancies or anomalies in financial records and escalate them promptly.
- Assist in internal audits and support implementation of financial controls.
- Greet visitors, clients, and suppliers warmly and professionally.
- Manage front desk operations, including answering phone calls, emails, and general inquiries.
- Schedule appointments, meetings, and maintain an organized reception area.
- Maintain office supplies and coordinate with vendors for procurement.
- Prepare correspondence, memos, and internal notices as needed.
- Assist other departments with clerical tasks to ensure smooth workflow.
- Respond promptly to client requests and provide solutions or guidance.
- Maintain a positive and professional demeanor at all times, reflecting the company’s values.
- Collect feedback from clients and escalate concerns to management to improve services.
- Diploma or Degree in Finance, Accounting, Business Administration, or related field.
- Minimum of 2 years of experience in finance, accounts, or front office roles. Hospitality experience is an added advantage.
- Basic accounting skills, including accounts receivable, cash handling, and financial reporting.
- Strong customer service and front office management skills.
- Excellent communication and interpersonal skills.
- Proficient in MS Office (Word, Excel, Outlook) and accounting software.
