Job Summary

The position will be responsible to the Director (s) in providing secretarial and office administrative support services, managing protocols, assist in Tender Preparation and protect the integrity of official correspondence and data.

  • Minimum Qualification: Bachelor
  • Experience Level: Entry level
  • Experience Length: 1 year

Job Description/Requirements

The ideal candidate should have a construction background in either a busy consulting or construction firm.


Specific duties and responsibilities will entail: -

  • Ensure security of office records, equipment and documents including classified materials;
  • Ensuring security, integrity and confidentiality of data;
  • Establishing and monitoring procedures for record keeping of correspondence and file movements;
  • Maintaining an up-to-date filling system in the office;
  • Preparing responses to routine correspondence;
  • Managing office protocol and etiquette;
  • Taking oral dictation;
  • Assist in Tender Co-ordination & Preparation;
  • Coordinate office administrative services;
  • Attending to visitors/clients;
  • Handling telephone calls; customer inquiries and complaints;
  • Coordinating schedules of meetings and appointments;
  • Coordinating travel arrangements;
  • Managing petty cash and any other office administrative duties that may be assigned from time to time;
  • Manage routine errands to Banks, client and consultant offices
  • Any other duty so assigned by the directors


JOB SPECIFICATIONS

  • Have served in the position of an Office Administrator in a busy Consultant/Construction firm or a comparable position for a minimum period of One (1) years;
  • Bachelor’s Degree from a recognised university
  • Background in the construction industry would be an added advantage
  • Have a Diploma in Secretarial Management Course will be an added advantage
  • Demonstrate professional competence and capability as reflected in work performance and results.
