Job Description/Requirements
● Reception Duties:
○ Answer incoming calls, greet visitors, and direct inquiries appropriately.
○ Manage and respond to general correspondence (emails, letters, etc.).
○ Maintain a professional and welcoming demeanor in person and over the phone.
● Office Management:
○ Oversee the general cleanliness and upkeep of the office space.
○ Coordinate and schedule meetings and functions for the Benz Living office, including booking rooms, catering, and arranging logistics.
○ Procure and manage office supplies and assets, ensuring efficient use and timely restocking.
○ Manage and account for petty cash used for office operations.
● Customer Service:
○ Ensure customer satisfaction by providing prompt and professional support.
○ Maintain records of customer interactions, transactions, comments, and complaints.
● Financial Administration:
○ Process and manage office administration payments within approved expense limits.
○ Assist with accounts payable tasks as needed.
● Records Management:
○ Maintain and file all business records in a systematic and organized manner.
● Additional Responsibilities:
○ Perform any other duties assigned by the Director or other superiors.
Qualifications:
● Minimum of 1-2 years of experience in an office administration role.
● Strong organizational and time management skills with the ability to prioritize multiple tasks.
● Excellent communication and interpersonal skills, both written and verbal.
● Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and other relevant office software.
● Ability to learn new software and systems quickly.
● Discretion, professionalism, and a commitment to confidentiality.
● Detail-oriented with a keen eye for accuracy.
● Ability to work independently and as part of a team.
